John A. Logan College is seeking a highly skilled and collaborative Manager of Financial Aid Systems to serve as the College's lead technical expert for financial aid operations and systems administration. This important role combines expertise in financial aid regulations, data management, student information systems, compliance, and process improvement to ensure students receive timely and accurate access to financial assistance.

As the Manager of Financial Aid Systems, you will play a critical role in supporting student success by ensuring the integrity, compliance, and effectiveness of the systems and processes that administer millions of dollars in financial assistance each year.

You will work closely with Financial Aid, Information Technology, Business Services, Enrollment Services, and external partners to maintain reliable operations, enhance system functionality, support regulatory compliance, and identify opportunities for innovation and continuous improvement.


What You'll DoLead Financial Aid Systems Administration
  • Administer and maintain financial aid management systems and student information systems.
  • Configure system settings, workflows, and data structures supporting financial aid operations.
  • Coordinate interfaces and data exchanges between institutional and external systems.
  • Monitor system performance and resolve data integrity issues.
  • Lead system testing, upgrades, implementations, and maintenance activities.
Ensure Compliance and Operational Excellence
  • Administer financial aid processes in accordance with federal, state, and institutional regulations.
  • Monitor student eligibility, enrollment, and award-related requirements.
  • Support financial aid disbursements, fund releases, and award administration.
  • Implement compliance controls and corrective actions when necessary.
  • Stay current with changing financial aid regulations and operational requirements.
Drive Reporting, Reconciliation, and Data Integrity
  • Develop and maintain reports, queries, and data management tools.
  • Perform reconciliation, balancing, validation, and reporting activities.
  • Prepare information for audits, compliance reviews, and regulatory reporting.
  • Monitor financial aid data accuracy and ensure proper documentation and recordkeeping.
  • Analyze data trends and identify opportunities for process improvement.
Collaborate Across Campus
  • Partner with Information Technology, Financial Aid staff, and campus stakeholders to support operational needs.
  • Coordinate data exchanges with federal, state, and external agencies.
  • Develop and maintain departmental procedures and documentation.
  • Support implementation of regulatory and operational changes.
  • Serve as a trusted resource for technical and operational guidance.
Train and Support Users
  • Conduct training on financial aid systems, processes, and regulations.
  • Support orientations, presentations, and informational events.
  • Provide technical assistance and resolve user questions regarding financial aid systems and processes.
  • Promote best practices that support efficiency, compliance, and student service.

Required QualificationsEducation
  • Bachelor's degree in a related field.
Experience
  • Experience in financial aid administration within higher education.
  • Experience administering federal student aid programs and maintaining regulatory compliance.
  • Experience using financial aid management systems and student information systems.

Preferred QualificationsEducation
  • Master's degree in a related field.
  • Relevant professional certifications or specialized training.
Experience
  • Three or more years of progressively responsible experience in financial aid operations, compliance, or systems administration.
  • Experience with financial aid reporting, reconciliation, audits, and process improvement.
  • Supervisory or team leadership experience.
