Job description

Job Title:Financial Aid Advisor - Senior

Department:Financial Aid

Location: College of Health Careers, 470 Skyview Centre Parkway, Rochester, NY 14622

Hours Per Week: 40

Schedule:8a - 4:30p (8-hour shifts on-site)

SUMMARY:

The role works both independently and collaboratively to support the financial aspects of delivering a college-level education to a culturally and socioeconomically diverse student population. This role is responsible for managing all activities related to Student Financial Aid and for leading the financial aid team to ensure effective service delivery.
The role provides accurate information, guidance, and support to applicants and enrolled students, ensuring a high-quality financial aid process. In addition, the role partners with departmental stakeholders and the College Cabinet to align financial aid operations with institutional goals and to support the overall success of programs.

RESPONSIBILITIES:

  • Advise and assist college students (age 18+) with education-related financial aid matters.

  • Manage and update all financial aid information and published materials (online, within SIS, and in print).

  • Apply federal (FSA) and New York State financial aid regulations, policies, and best practices to determine eligibility and award packages.

  • Lead the full processing cycle of federal, state, and institutional aid, including:

  • Monitor student eligibility through Satisfactory Academic Progress (SAP) and other compliance standards.

  • Oversee daily operations of the Financial Aid Office, ensuring compliance with federal, state, and institutional regulations.

  • Utilize FSA software systems to review Institutional Student Information Reports (ISIRs), contact students for corrections, and ensure accuracy.

  • Maintain transfer monitoring and enrollment updates within the National Student Loan Data System (NSLDS) and support monthly reporting to the National Student Clearinghouse.

  • Use the Common Origination and Disbursement (COD) system to track completion of Master Promissory Notes, Entrance Counseling, and Exit Counseling.

  • Evaluate and process New York State Aid applications via the HESC portal, as well as institutional aid applications, for estimated award determinations.

  • Serve as the School Certifying Official for Veterans Benefits, including enrollment verification and certification.

  • Issue award letters to incoming students with estimated federal, state, and institutional aid.

  • Analyze student records to confirm finalized aid eligibility and prepare disbursement batches.

  • Refer students to other student service offices as needed and liaise with external agencies to facilitate additional grant funding.

  • Ensure the integrity of financial aid data by maintaining and championing the Student Information System (SIS) for Financial Aid.

  • Conduct independent FAFSA completion workshops and provide financial aid programming, including the annual Constitution Day requirement.

  • Support institutional policy development to improve efficiency and the quality of service provided.

  • Prepare and present reports for institutional leadership, accrediting bodies, and state/federal agencies.

  • Participate in professional development and ongoing training to remain current with program changes and regulatory updates.

  • Perform other related duties as assigned.

REQUIRED QUALIFICATIONS:

-Associate degree.

-Minimum of 3 years of experience in finance, accounting, or related field.

-Required Licensure/Certification/Training

  • Completion of the following U.S. Department of Education training modules within 90 days of hire:

o FSA Financial Value Transparency and Gainful Employment

o 2025-26 Professional Judgment and Dependency Status Determinations

o 2025-26 Reporting Requirements

PREFERRED QUALIFICATIONS:

-Bachelor's degree.

-At least 3 years of direct experience in higher education financial aid.

-Advanced skills in Microsoft Excel with strong data analysis and reporting ability.

-Experience with EMPOWER SIS or similar student information/financial aid systems.

-Proficiency with Microsoft Office Suite (Word, Excel, Outlook).
