Job description

Paine Hamblen, P.S. is seeking a highly motivated and experienced Legal Assistant with a strong background in civil defense litigation to join our busy law office. This position is ideal for an individual who is comfortable working in an active litigation environment, managing deadlines independently, and providing reliable, high-level support to attorneys. Applicants must be able to handle competing priorities with accuracy, professionalism, and minimal supervision and must have at least two years of legal assistant experience.

As a Legal Assistant, you will work closely with attorneys and paralegals to provide exceptional client service and keep matters moving efficiently. Responsibilities include preparing and managing legal documents, coordinating calendars and scheduling, handling client and office correspondence, maintaining files, arranging meetings and travel, and assisting with case and deadline management.

The ideal candidate is highly organized, detail-oriented, and thrives in a fast-paced environment. If you are a proactive professional with strong communication skills and the ability to manage multiple priorities effectively, we would love to hear from you.

Compensation:

$27 - $31 hourly


Responsibilities:
  • Provide administrative and litigation support to attorneys and paralegals.
  • Communicate professionally with clients, courts, opposing counsel, court personnel, and other third parties.
  • Manage incoming and outgoing correspondence, including emails, mail, and telephone communications.
  • Coordinate attorney travel, meetings, depositions, mediations, and client and witness interviews.
  • Schedule court reporters, videographers, interpreters, and other litigation service providers.
  • Transcribe attorney dictation and prepare, edit, and proofread legal documents and correspondence.
  • Prepare, format, and finalize pleadings, discovery, correspondence, and other legal documents.
  • File legal documents with state and federal courts, including electronic filing where applicable.
  • Maintain attorney calendars and accurately calendar deadlines, hearings, trial dates, and Court Schedule Orders.
  • Monitor deadlines and proactively remind attorneys and team members of upcoming obligations.
  • Maintain organized electronic and physical client files.
  • Assist with time entry, billing, expense processing, and other administrative functions.
  • Handle confidential and sensitive information with discretion and professionalism.

Qualifications:
  • Experience in a legal assistant role, with at least two years in civil defense litigation.
  • Proficiency in Microsoft Office applications, including Word, Outlook, and Excel.
  • Ability to manage multiple priorities and deadlines independently with accuracy and professionalism.
  • Proven track record of providing high-level administrative support in a legal setting.
  • Strong communication skills to interact professionally with clients, courts, and opposing counsel.
  • Proficiency in preparing, formatting, and finalizing legal documents and correspondence.
  • Experience with electronic filing in state and federal courts.
  • Ability to maintain organized electronic and physical client files efficiently and securely, handling sensitive information with discretion and professionalism.
