Job description

We are looking for a highly skilled, trusted, and detail-oriented Legal Assistant Supervisor to support our Fee Motion department. This long-term, high-impact role is dedicated to overseeing every aspect of the Fee Motion process, ensuring accuracy, consistency, and that no detail is overlooked. Reporting directly to the department manager, you will supervise and support a team of 5-10 legal assistants, overseeing deadlines, workflow continuity, and work product quality with meticulous attention to detail. The ideal candidate has at least 2 years of supervisory experience, a financial or legal billing background, and expertise in deadline management - preferably within a law firm. This role requires strong leadership, attention to detail, and the ability to drive results in a fast-paced, deadline-driven environment.
Deadline Ownership & Case Oversight
  • Manage all Fee Motion-related deadlines, including court-imposed deadlines, contractual obligations, and deadlines for Motions for Attorneys' Fees, Costs, and Expenses
  • Maintain a comprehensive understanding of each case's life cycle and proactively address any risks associated with upcoming deadlines.
  • Review dashboards and other reporting tools to monitor case progress, deadlines, and team performance.
  • Ensure compliance with court rules and jurisdictional requirements in both Federal and State Courts; coordinate e-filing and track deadlines
  • Proactively adjust internal timelines and workflows to ensure deadlines are consistently met
  • Maintain organized records of billing documentation, time entries, and financial supporting evidence

Team Supervision & Workflow Coordination
  • Supervise, train, and mentor a team of 5-10 fee motion legal assistants; manage workload distribution and deadlines
  • Review time entries, billing records, and cost documentation for accuracy; identify and resolve discrepancies
  • Review team work product for accuracy and compliance; serve as escalation point for complex matters
  • Ensure proactive follow-ups so work is consistently progressing without delays.
  • Track fee motion outcomes and compile performance and financial metrics for management Process & Administration
  • Develop and implement SOPs and best practices for fee motion preparation and workflow
  • Identify opportunities to streamline workflows and enhance operational efficiency; ensure compliance with firm policies and ethical standards
  • Anticipate challenges or bottlenecks and implement solutions before issues escalate.

Requirements
  • Minimum 2 years of supervisory experience managing 5-10 legal support staff
  • Demonstrated experience in deadline management
  • Financial background: billing records, time entry review, cost documentation, or related experience
  • Strong knowledge of court procedures, e-filing systems, and legal formatting
  • Excellent attention to detail, organizational skills, and written/verbal communication

Preferred
  • Law firm experience - strongly preferred
  • Paralegal certificate or equivalent legal training
  • Familiarity with billing/timekeeping software (e.g., Clio, MyCase, Timeslips)
  • Background in accounting, bookkeeping, or legal billing; experience developing SOPs or training materials

This role will be onsite at our office in Century City, Los Angeles
Compensation: $70,000- $85,000
