JOB DESCRIPTION (Summary/Objective)

The Service Center Coordinator will support the service center team by providing administrative support to department managers. This role will assist in researching and preparing quotes, work packages, and invoices for both, maintenance, and avionics departments. Other aspects of this role will include customer communications, assisting with SOP development, Quality Management System compliance, maintaining CRM databases, and developing email marketing campaigns. In short, the Service Center Coordinator will act as the glue between the maintenance, avionics, parts, FBO, and sales divisions.

ESSENTIAL FUNCTIONS

Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.

  • Support the service center and avionics managers allowing them to increase their billable time
  • Assist in preparing work packages, quotes, and invoices
  • Assist in researching ADs, SBs, and maintenance logs for scheduled aircraft
  • Assist in ensuring parts are ordered and received in a timely manner
  • Assist in processing warranty claims
  • Assist in updating agenda items for senior team meetings
  • Assist in interfacing with accounting to ensure billings, deposits, etc. are handled accurately
  • Help improve the organization and efficiency of the Service Center, Parts, and FBO
  • Assist in maximizing Hubspot’s functionality

SUPERVISORY RESPONSIBILITY

WORK ENVIRONMENT

This job operates in an office and shop environment. This role routinely uses standard office equipment such as computers, photocopiers, and multi-line phones.

PHYSICAL DEMANDS

  • While performing the duties of this job, the employee is regularly required to talk or hear.
  • This would require the ability to lift up to 50lbs frequently.
  • There will be periods of sitting at a desk and frequent lifting, carrying, bending, and reaching.

POSITION TYPE/EXPECTED HOURS OF WORK

This is a full-time position. Days and hours of work are Monday through Friday, 8:00 a.m. to 5 p.m. Other weekdays and evening work may be required as job duties demand.

TRAVEL

Little to no travel is expected for this position.

QUALIFICATIONS/LICENSE

  • Must possess an unrestricted driver’s license

REQUIRED EDUCATION and EXPERIENCE

  • Associate degree or equivalent experience
  • Experience writing quotes
  • Experience in a retail shop environment

REQUIRED SKILLS and ABILITIES:

  • Excellent verbal and written communication.
  • Excellent organization, attention to detail, and time management skills.
  • Self-starter

PREFERRED EDUCATION and EXPERIENCE

  • Experience in the aviation industry
  • Experience with Quantum/Component Control software
