Founded by Vogue's Alexandra Macon, Over The Moon is the ultimate retail, registry, and editorial platform for creating a life well-lived. What began as the aspirational source for couples getting married has grown into a cult fashion, home, and children's shopping destination as well as an elevated wedding and baby registry provider. We are entering an exciting new stage of growth and looking to expand our team.
Over The Moon is seeking a highly organized, proactive, and detail-oriented Executive Fashion Assistant to support daily office operations, provide direct administrative support to the CEO, and assist with fashion/creative workflows including photoshoot prep, sample requests, gifting, and call-ins.
Key Responsibilities:
Executive Support
  • Manage the CEO's calendar, meeting schedule, and daily priorities.
  • Assist with email organization, follow-ups, and light correspondence as delegated.
  • Support research projects, prep materials, and general administrative tasks.

Office Management:
  • Maintain a tidy, organized, and efficient office environment.
  • Manage office supplies, mail, sample deliveries, office vendor communications, and daily logistics.
  • Oversee inbound/outbound packages, including photoshoot samples, gifting, and product shipments.
  • Support coordination between office, operations, and store teams as needed.

Stylist Assistant
  • Client Communication & Conversion Support
  • Join introductory calls with new clients
  • Track and manage customer inquiries, ensuring timely follow-ups
  • Support converting inquiries into clients through consistent communication
  • Act as a reliable second point of contact during client engagements especially when Head of Styling is unavailable
  • Track order statuses and proactively update clients on progress
  • Styling & Sales Support
  • Build carts with OTM product recommendations (outside of wedding looks) to drive onsite spend
  • Assist in suggesting items that complement client needs beyond core styling services
  • Pull and organize product selections (e.g., shoes, accessories) for review
  • Pull styles weekly and present selections to Head of Styling for approval
  • Maintain and update weekly Styling reporting including:
    • Onsite spend tracking
    • Customer inquiries โ†’ conversion rates

Photoshoot Assistant
  • Assist with photoshoot preparation:
    • Assist with mood board creation
    • Pull product selects along side merchandising team
    • Organize and track samples
    • Create shot lists or prep documents
    • Steam, prep, and organize items for shoot day
  • Help with on-set support during photoshoots.
  • Manage sample call-ins from brands:
    • Draft request emails
    • Track inbound/outbound samples
    • Maintain an organized sample log
    • Ensure samples are returned in timely, excellent condition
    • Communicate with vendors regarding return tracking and image selects if applicable
  • Oversee and manage Pinterest

Gifting, Samples & Vendor Assistant
  • Handle day-to-day gifting requests, ensuring items are pulled, prepped, beautifully packaged, and shipped on time.
  • Manage sample requests for editorial, marketing, and influencer needs.
  • Maintain accurate records of what has been requested, received, used, and returned.

Requirements
1-3 years of experience in an executive assistant, fashion assistant, styling, showroom, editorial, retail, or operations support role
Strong interest in fashion, luxury retail, styling, editorial, and brand storytelling
Highly organized with exceptional attention to detail and follow-through
Ability to manage multiple projects and shifting priorities in a fast-paced environment
Strong written and verbal communication skills with a polished, professional demeanor
