Duration: 6 months (possible extension)

Logistics:

  • Hybrid in office expectation: 2 days at this point in time - Tuesdays/Wednesdays, potentially moving to 3 in the new year.
  • Occasional may need to be in Basking Ridge - there is a shuttle that leaves from 140 West to go to Basking Ridge and back
Job Description
  • Client's Corporate Marketing Organization is seeking an Executive Assistant to provide administrative support to senior leadership within the Media & Marketing Effectiveness team.
  • Candidate will play a pivotal role in ensuring the efficiency and effectiveness of client team.
  • Candidate will be responsible for a wide range of administrative tasks, including but not limited to calendar management, travel & expense arrangement and day-to-day office support.
  • Client works in a fast paced environment and will need candidate’s positive attitude and swift attention to detail to help client maximize client performance.
  • Candidate must be able to clearly communicate and understand priorities and make adjustments to schedules & logistics accordingly.
  • The ideal candidate is a self-starter, detail-oriented, proactive, organized and thrives in a fast paced environment.
Responsibilities Include:
  • Managing executive calendars, schedule meetings, appointments and conferences with internal and external stakeholders in an efficient manner
  • Coordinating meeting logistics including calendar invites, conference rooms, dial-in details and greeting visitors & getting them set up when needed
  • Coordinating travel arrangements for leaders candidates are supporting -(i.e.: flights, cars, accommodations and itineraries ) as well as expense management
  • Serving as central point of contact for internal and external stakeholders, handling inquiries and requests professionally and promptly
  • Assisting in planning and executing special projects and events as needed
  • Handling confidential information with discretion and professionalism
  • Providing general administrative support to the broader teams as required and when requested by the leadership team(e.g. Town Halls, Employee Engagement logistics, etc.)
Candidates Will Need To Have:
  • Bachelor's degree or one or- more years of work experience.
  • One or more years of relevant work experience.
  • Project management experience.
  • Administrative support experience.
  • Experience managing confidential information
Even Better If Candidates Are:
  • A self-starter
  • Proactive and organized.
  • Exceptional organizational and time-management skills
  • Proficiency in off software and communication tools (i.e. Google Workspace, Slack)
