Import/Export Logistics / Registration Specialist - Quincy, IL
Position Purpose
This position will be responsible for all aspects of the processing of import and export orders and documentation, supporting compliance with Customs, FDA and USDA as well as foreign government regulations/requirements, handling various related customer service and accounting and logistics activities. This position also is responsible for transactional product registrations activities.
Primary Job Functions
Import/Export
  • Support movement of product to AN  sites in Puerto Rico, Canada, Mexico  and Trinidad in a timely and efficient manner.
  • Perform daily administrative/clerical tasks of export documentation with minimal oversight.
  • Collaborate with ADM logistics and outside carriers to arrange freight and monitor movements.
  • Confirm daily loading schedule and verify both trucking and product set to load.
  • Communicate weekly international shipping schedule with  plants.
  • Deal with Customer Service issues effectively and efficiently.
  • Communicate with customers regularly during the export process.
  • Process payments to carriers and handle billing functions related to the export/import process.
  • Process all small product sample/marketing material request for international shipping as needed based on SOP guides.
  • Follow established ADM/AN internal guidelines in all transactions.
  • Follow all Customs Border Protection, FDA, USDA, and foreign government regulations as required for any import/export shipment.
  • Handle all new vendor set up.
  • Maintain all shipment checklists accuracy per manager requests.
  • Maintain product classification spreadsheet used to define product with CBP.
  • Prepare and manage Free Trade Agreement (FTA) documentation, coordinate reviews with the Trade Compliance team, and ensure accurate documentation storage and retention in accordance with internal requirements.
Export product Registration:
  • Collect the list of requirements for the registration of products for each country
  • Analyze and transcribe local regulatory requirements
  • Compile technical registration files
  • Ensure the layout of the required documents, as well as their shipment, along with the requested samples
  • Translating/having documents translated into the requested language
  • Work with local government authorities to obtain various certificates (health, free movement,...) and obtain their legalization
  • Follow up on registration requests with sales team and with 3rd party distributors
  • Answer clients' questions about the progress of registration applications
  • Work with multiple departments to ensure information is accurate and compliant
  • Inform the people concerned once the products are authorized in the countries
  • File and archive registration records
  • Keep abreast of changing requirements in each country
  • Regularly update registration tracking tables
  • Manage the procurement of Registration Certificates
  • Anticipate and manage registration renewals to be made
  • Manage multiple registrations at the same time

  • Be a self starter that initiates resolution of problems.
  • Read, analyze and interpret complex procedures or regulations.
  • Knowledgeable in all import/export government regulations and procedures as well as ADM Global Compliance guidelines.
  • Follow rigid Regulatory and International Trade guidelines where applicable for export shipping as well as product registration.
  • Must be able to prioritize work flow and complete tasks with high level of organization and efficiency with minimal supervision.
  • Candidate should have a BS degree or equivalent
  • A strong desire to learn and grow
  • 0-2 yrs. experience with international imports or exports
Characteristics (Preferred)
  • Prior experience with Oracle, Excel, Word, Sales Force, Share Point and Access
  • Animal nutrition product knowledge.
Working environment
  • This position will work on a daily basis on the phone and computer with internal and external ADM AN customers. It requires extended periods of time sitting.
  • This position will report directly to the Manager Global Registration and will work in the AN Quincy, IL office.
