Overview

An Export Booking Specialist is responsible for coordinating and managing international shipment bookings, ensuring timely and accurate export logistics operations. This role serves as a key liaison between yards, FAS customers, carriers, freight forwarders, and internal teams to secure space, prepare documentation, and maintain shipment accuracy from booking to departure.

Booking & Coordination

  • Secure export bookings with ocean carriers based on sales & customer requirements.
  • Monitor vessel schedules and capacity, adjusting bookings as needed.
  • Coordinate pickup, drayage, and container availability with yard coordinators.

Documentation Management

  • Prepare and verify export documentation, including commercial invoices, packing lists, SLI, HBL/MBL, AWB, and certificates of origin.
  • Ensure compliance with customs regulations, country-specific requirements, and carrier guidelines.
  • Submit shipping instructions and verify bills of lading for accuracy.

Operational Support

  • Track shipment milestones and communicate status updates to internal teams.
  • Resolve booking issues, space constraints, rollovers, and documentation discrepancies.
  • Collaborate with internal operations, sales, warehouse, and finance teams.

Yards, GNFT & Carrier Relations

  • Serve as the primary point of contact for export booking inquiries.
  • Build strong relationships with carriers, freight forwarders, and service providers.
  • Negotiate rates or space allocations when applicable.

Data & System Management

  • Enter and update booking information in BSM, SAI, INTTRA, and carrier portals.
  • Maintain accurate records for audit and compliance.
  • Generate and analyze shipment reports to identify process improvements.

Required Skills & Qualifications

  • Experience in export logistics, freight forwarding, or international shipping.
  • Strong understanding of INCOTERMS, export regulations, and carrier requirements.
  • Proficiency with booking portals (e.g., Maersk, MSC, CMA CGM portals) and logistics software.
  • Excellent communication, organization, and problem-solving skills.
  • Ability to work in a fast-paced, deadline-driven environment.
  • Attention to detail and strong documentation capabilities.

Optional Qualifications

  • Knowledge of U.S. Export Administration Regulations (EAR) and compliance.
  • Familiarity with AES filing and ECCN classifications (Export Control Classification Number)
  • Familiarity with SAI.
