Job description

Job Title: Executive Assistant to CEO

Reports to: Chief Executive Officer
Location: Palm Bay, Florida
Work arrangement: On-site

About Dynatech International

Founded in 1973, Dynatech International is an aerospace and defense supply chain, MRO, and distribution company headquartered in Palm Bay, Florida. Through our proprietary DLMS® platform — 125 million+ part numbers and 12,000+ certified suppliers — we sustain more than 2,000 legacy weapons systems for defense and commercial customers worldwide. DI is AS9100D, AS9120, and ISO 9001 certified, operates ISO Group as a subsidiary, and is backed by Capricorn Holdings and LBC Small Cap Fund. We are executing an aggressive growth plan and building the team to deliver it.

The Role

This is not a calendar-keeping job. The Executive Assistant to the CEO is the operating hub of the executive office — the person who controls the CEO's time, protects the flow of confidential information, and makes sure that what leaves this office is accurate, on time, and Board-ready.

You will sit at the center of everything: Board and investor communications, executive leadership coordination, customer and supplier escalations, travel across multiple time zones, and a steady stream of decisions that cannot wait. You will see the company's most sensitive information before almost anyone else does, and you will be trusted to handle it accordingly.

We are looking for someone with exceptional drive, judgment, intellectual curiosity, and executive presence — someone who operates with high energy, and equally high standards, and the ambition to grow well beyond this role. The right person will end up knowing this business cold and will have a path into broader leadership responsibility.

What You Will Own

  • Calendar and time. Full control of the CEO's schedule. Own and strategically manage the CEO’s calendar, using sound judgment to prioritize, reschedule, delegate, or decline requests on the CEO’s behalf.
  • Board and investor support. Coordinate Board meeting logistics, assemble and distribute Board materials, manage document version control, and track follow-up items to closure with the executive team.
  • Communications. Draft, edit, and route correspondence on behalf of the CEO to the Board, investors, customers, suppliers, and employees. Match tone and standard without needing to be re-edited.
  • Executive team coordination. Serve as the connective tissue between the CEO and the leadership team — driving accountability on action items, agendas, and deliverables across Operations, Finance, Global Programs, USDP, IT, BD, Quality, and Compliance.
  • Travel and logistics. End-to-end domestic and international travel: itineraries, security and export considerations, customer visits, trade shows, and contingency planning when plans break.
  • Meeting execution. Prepare briefing materials in advance, capture decisions and commitments, and drive follow-through. Nothing discussed in the CEO's office should die there.
  • Expense and administrative discipline. Timely, accurate expense reporting, records management, and document control consistent with DI's quality system.
  • Confidential projects. Support special initiatives at the CEO's direction — competitive, financial, organizational, and M&A-related work that stays inside the executive office.

Confidentiality — Non-Negotiable

You will routinely handle information that carries real consequence if mishandled: Board and investor materials, financial and forecast data, compensation and personnel matters, M&A activity, customer pricing and contract terms, and export-controlled technical data.

This role requires:

  • Demonstrated judgment handling highly confidential material in a prior executive-support, legal, financial, or government/defense environment
  • Strict adherence to DI's export compliance program, including ITAR and EAR requirements, and to all information security and document control procedures
  • Willingness to execute a confidentiality and non-disclosure agreement as a condition of employment
  • Successful completion of a background check
  • U.S. Person status as defined under ITAR (22 CFR 120.62), given exposure to export-controlled technical data
  • Ability to obtain and maintain a U.S. government security clearance if required

Discretion here is not a soft skill. It is a job requirement, and it will be tested daily.

What We Are Looking For

Required

  • 5+ years supporting a senior executive, ideally a C suite member, in a fast-moving organization
  • Track record of operating with minimal direction — you identify what needs to happen and make it happen
  • Exceptional written and verbal communication; you can draft something the CEO can send without rewriting it
  • Demonstrated ability to manage competing priorities under pressure without dropping detail
  • Advanced proficiency with Microsoft Office (Outlook, Word, Excel, PowerPoint), Teams, and modern collaboration and AI productivity tools
  • Comfort holding senior leaders accountable to deadlines and commitments
  • Availability for occasional travel and for responsiveness outside standard hours when the business requires it

Preferred

  • Experience in aerospace, defense, government contracting, or a regulated manufacturing/distribution environment
  • Exposure to Board governance, private equity ownership, or investor reporting
  • Familiarity with ERP systems, CRM platforms, and document control practices
  • Project or program coordination experience
  • Notary commission (or willingness to obtain)

Who Thrives Here

  • You have serious energy and stamina, and you bring it every day
  • You are ambitious — you want to build a career, not hold a seat
  • You are unflappable when priorities change three times before noon
  • You are direct, and you can take direct feedback without friction
  • You care about getting details exactly right because you understand what is riding on them
  • You want to learn this industry deeply and become genuinely valuable to the business

Compensation and Benefits

Competitive base salary commensurate with experience, plus performance-based incentive. Comprehensive benefits including medical, dental, and vision coverage, 401(k), and paid time off.

Dynatech International is an Equal Opportunity Employer. All qualified applicants will receive consideration for employment without regard to race, color, religion, sex, sexual orientation, gender identity, national origin, age, disability, protected veteran status, or any other characteristic protected by law. Certain positions require access to export-controlled technical data; applicants for those positions must be U.S. Persons as defined under ITAR and the EAR.

To apply: Submit your resume and a brief cover note describing the most sensitive situation you have managed on behalf of an executive — and how you handled it.
