JOB DESCRIPTION

Responsibilities

The Executive Assistant to the CEO serves as a trusted business partner, providing high-level administrative, operational, and personal executive support to maximize the CEO's effectiveness. This role requires exceptional organization, sound judgment, confidentiality, and a strong understanding of the business to anticipate needs, prioritize competing demands, and ensure seamless execution of daily activities. The Executive Assistant also plays a key role in supporting internal communications, coordinating executive initiatives, and fostering effective communication across the organization.

Activities

  • Serve as the primary administrative partner to the CEO, managing a complex calendar, prioritizing meetings, appointments, and competing business demands.  
  • Coordinate all travel arrangements, itineraries, accommodations, and logistics for business and personal travel.  
  • Provide personal executive assistance as needed, managing time-sensitive personal appointments, errands, and other administrative matters with discretion.  
  • Prepare meeting agendas, presentation materials, reports, briefing documents, and follow-up action items to ensure executive meetings are productive and organized.  
  • Support internal communications by coordinating leadership updates, employee communications, town halls, and organizational announcements.  
  • Act as a liaison between the CEO, leadership team, employees, customers, and external partners while maintaining professionalism and confidentiality.  
  • Conduct research, gather business information, analyze data, and prepare summaries to support strategic discussions and executive decisions. 
  • Track key initiatives, deadlines, and follow-up actions to ensure commitments are completed on time.  
  • Build positive working relationships across all levels of the organization and serve as a trusted point of contact for executive matters.  
  • Support multiple office locations through occasional on-site coordination and executive presence.  
  • Assist with planning and coordinating employee engagement activities, leadership events, and company functions.  
  • Handle sensitive and confidential information with the highest level of integrity and discretion.

JOB QUALIFICATIONS

  • 3+ years of experience supporting a CEO, senior executive, or executive leadership team in a fast-paced business environment.
  • Strong business acumen with the ability to understand organizational priorities and anticipate executive needs.
  • Experience supporting executive communications, presentations, and company-wide messaging.
  • Exceptional organizational, project management, and multitasking skills with outstanding attention to detail.
  • Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Teams) and the ability to quickly learn new business systems. Eagerness to learn and utilize AI tools.
  • Excellent written and verbal communication skills with strong editing and proofreading abilities.
  • Demonstrated ability to exercise sound judgment, maintain confidentiality, and manage highly sensitive information.
  • Professional, polished, and service-oriented with exceptional interpersonal skills.
  • Self-starter who is proactive, resourceful, adaptable, and able to work independently with minimal direction.
  • Ability to prioritize multiple competing demands while maintaining a high level of accuracy and responsiveness.
  • Experience coordinating executive travel, meetings, and special events.
  • Willingness to provide occasional personal executive support as needed.
  • High level of professionalism, discretion, and emotional intelligence in interactions with executives, employees, customers, and business partners. Quick learner, gets the job done quickly and accurately. The ability to create forms, and flyers. Must be Tech-savvy.
