The Opportunity

You will serve as a high-trust strategic partner, working directly with company ownership/executive staff to maximize their time and efficiency. This pivotal role grants you the autonomy to manage executive schedules, coordinate high-priority business initiatives, and streamline daily communications. By keeping ownership organized and focused, your daily contributions will directly impact the growth and operational success of a premier family-owned contractor.


How You Will Make an Impact

  • Manage and coordinate executive calendars, appointments, meetings, and competing scheduling priorities seamlessly.
  • Coordinate comprehensive travel arrangements, lodging, transportation, and detailed itineraries for ownership.
  • Track critical action items, project deadlines, and essential follow-up tasks to ensure operational momentum.
  • Organize, maintain, and secure sensitive documents, executive records, strategic reports, and business correspondence.
  • Act as a professional liaison for internal and external communications with vendors, customers, and business partners.
  • Spearhead special projects, operational initiatives, and research assignments independently to drive process improvement.
  • Handle highly confidential business and personal administrative data with absolute discretion and integrity.


Required Qualifications & Experience

  • Proven professional experience supporting executives, business owners, or senior leadership teams.
  • Exceptional organizational, time-management, and proactive prioritization skills in fast-paced environments.
  • Strong written and verbal communication abilities alongside a high level of discretion and confidentiality.
  • Demonstrated ability to work independently, solve complex logistical problems, and adapt quickly to shifting demands.
  • High proficiency with Microsoft Office, Google Workspace, electronic calendars, and modern business software platforms.


Preferred Qualifications & Experience

  • Prior experience working within a growing mechanical, construction, or trade-services business environment.
  • Advanced technical skill in designing digital organization systems, document workflows, or tracking dashboards.
  • Documented experience managing blended business priorities and personal administrative tasks for business owners.
