Job description


Kiawah Island Real Estate is seeking a highly organized, proactive, and detail-oriented Executive Assistant/Office Administrator to provide administrative and operational support to the Broker-in-Charge (BIC) and Director of Operations. This role is essential to the day-to-day success of our sales organization, serving as a trusted partner in managing office operations, agent support, reporting, events, and special projects across three office locations.

Key Responsibilities
  • Provide executive administrative support, including calendar management, meeting coordination, and preparation of reports, presentations, and correspondence.
  • Coordinate agent administration, including agreements, commission schedules, licensing records, referrals, onboarding, and business planning.
  • Prepare and distribute sales reports, meeting materials, activity summaries, and other operational communications.
  • Maintain office systems, databases, records, and operational tracking reports with a high degree of accuracy.
  • Process payroll, invoices, vendor payments, commission documentation, and other administrative transactions.
  • Oversee the Supra lockbox system and support MLS-related reporting.
  • Coordinate office operations across three locations, including facilities requests, office moves, conference room scheduling, storage management, and vendor coordination.
  • Plan and execute office meetings, training sessions, employee events, recognition programs, and special projects.
  • Support new agent and employee onboarding, training logistics, and the summer intern program.
  • Partner with the Director of Operations and department leaders to ensure efficient office operations and exceptional internal service.
  • Provide front desk and customer support as needed while maintaining a professional, welcoming office environment.
  • Perform additional administrative and operational duties as assigned.
Qualifications
  • 5+ years of executive or administrative support experience, preferably in real estate or a professional services environment.
  • Exceptional organizational, communication, and time management skills.
  • Strong attention to detail with the ability to manage multiple priorities in a fast-paced environment.
  • Advanced proficiency in Microsoft Office (Outlook, Excel, PowerPoint, Word) and comfort learning new technology platforms.
  • Ability to handle confidential information with professionalism and discretion.
  • Self-motivated, resourceful, and committed to providing outstanding customer service.
Preferred Qualifications
  • Experience with MLS systems, Supra, payroll processing, or real estate brokerage operations.
  • Experience coordinating events, meetings, and office operations across multiple locations.

Physical Requirements

  • Ability to remain seated for extended periods with occasional mobility between offices and around Kiawah Island
  • Frequent use of computers and office equipment requiring fine motor skills
  • Ability to read documents and computer screens with close visual focus
  • Ability to communicate effectively in person and by phone
  • Occasional lifting of office supplies or files up to 25 pounds
