Job Summary:

The Executive Assistant role will work to provide high‑level administrative and project support to the President (and occasional other executives). Manage calendars, communications, meeting logistics, travel, and key administrative projects to enable leaders to focus on strategy and operations.

Job Duties:

  • Manage complex calendars, schedule and coordinate internal and external meetings, prepare agendas, take meeting notes, and briefing materials.
  • Screen and prioritize calls, emails, and inquiries, draft, and proofread correspondence.
  • Coordinate travel arrangements and detailed itineraries (domestic and occasional international).
  • Prepare presentations, reports, and executive summaries using PowerPoint and Excel; manage document version control.
  • Support project administration: track key milestones, RFP/RFQ coordination, meeting minutes, action-item follow‑up.
  • Liaise with project managers, estimators, field staff, subcontractors, clients, and vendors to streamline communications.
  • Maintain confidential files and sensitive information with discretion.
  • Assist with expense reports, purchase requests, and basic finance coordination.
  • Organize company events, executive offsites, and board/owner meetings.
  • Implement process improvements and systems (e.g., SharePoint, Procore, CRM) to improve executive efficiency.

Skills, Knowledge, Qualification and Experience:

  • Five (five) plus years’ administrative or executive support experience; 2+ years in commercial construction or construction services strongly preferred.
  • Associate degree or bachelor’s degree preferred (or equivalent work experience).
  • Excellent written and verbal communication skills; polished professional demeanor.
  • Strong organizational skills, attention to detail, and ability to manage competing priorities.
  • Proficient with Microsoft Office (Outlook, Word, Excel, PowerPoint); experience with construction software such as Procore, PlanGrid, Viewpoint, or similar is a plus.
  • Ability to handle confidential information with integrity and discretion.
  • Strong interpersonal skills for relationship management with owners, subcontractors, and internal teams.
  • Valid driver’s license: occasional travel to job sites required.
  • Project coordination experience and familiarity with safety protocols
  • High sense of urgency and set priorities.
  • Sees inefficiencies and can address ways to resolve current and/or future issues.
  • Must be a team player with a positive, collaborative attitude.

Physical Job Demands

While performing the duties of this job, the employee is regularly required to sit. The employee frequently is required to walk; use hands to finger, handle or feel; reach with hands and arms; and talk or hear. The employee is occasionally required to stand. The employee must frequently lift or move objects up to ten (10) pounds and occasionally lift or move objects up to twenty-five (25) pounds and may experience prolonged periods sitting.
