What will you be doing in your role?

Executive Operationsย 

  • Independently manage and triage the Presidentโ€™s and Vice Presidentโ€™s email inboxes, ensuringtimelyresponses,exercising judgment toflagstrategicpriorities, andmaintainingexecutive-level communication standards.ย 
  • Draft, edit, and prepare professional correspondence, presentations, and internal communications on behalf of the President and Vice President, exercising discretionregardingcontent and alignment with leader voice.ย 
  • Orchestrate and โ€œrun the dayโ€ for President and Vice President, including ensuring smooth meeting transitions, keeping schedules on track, and proactively preparing materials and briefing documents before each meeting.
  • Manage complex, high-volume calendars for the President and Vice President,making autonomous decisionsregardingscheduling,prioritization ofrequestsand coordinationwith internal and external stakeholders.ย 

Strategic Support

  • Anticipate needsof President and Vice Presidentby monitoring workloads, deadlines, and key priorities,proactivelyidentifyingrisks, conflicts or preparation needs toensurethe leaders are fully briefed and equipped for upcoming commitments.ย 
  • Serve as a strategic gatekeeper, protecting executive time whilemaintainingstrong relationships across the organizationand making determinationsregardingaccess, timing, and follow-up.ย 
  • Own preparation for executive meetings, includingdriving timelines, supportingcreationofagendas,curatingmaterials, and guiding post-meeting follow-throughto driveresults.ย 

Governance Entities Strategy & Engagement

  • Serve as the operationalownerfor governance processesโ€”anticipatingneeds, maintaining cadence, and ensuring all governance activities occur on time, with excellence, and with minimaldirectionrequiredfrom the President and Vice President.
  • Prompt the President and Vice President to prepare meeting agendas and materials in advance,maintaininga smooth planning cadence so executivesdonโ€™tneed to manage the process themselves.ย 
  • Provide comprehensive support for all governance meetings, including preparing meeting spaces, managing technology needs, taking clear and actionablenotes, anddocumenting decisions and followup tasks.ย 

Project Management Strategic Support

  • Support the implementation of project management best practices for crossfunctional initiatives led by the President and Vice President, exercising judgment to organize workstreams, timelines, and alignment across teams.ย 
  • Ownlogistics, coordination, and document preparation for project management meetings.ย 
  • Support preparation and follow up for project management meetings, including preparing agendas, assembling materials, and capturing clear next steps that drive consistent followthrough and momentum.ย 

Are you the next Executive Operations Manager?

Required:

  • High School Diploma.
  • 5 to 7 or more years of relevant professional experience in executive support, operations, or administrative leadership.
  • Proficiency in Microsoft Office Suite (including Outlook, Word, Excel, PowerPoint and SharePoint).
  • Excellent written and oral presentation skills in English.
  • Exceptional organizational skills with the ability to manage multiple priorities and deadlines.ย 
  • Strong communication and interpersonal abilities.ย 
  • Demonstrated discretion and ability to handle sensitive and confidential information.ย 
  • Ability to work both independently and collaboratively in a fast-paced environment.ย 
  • Ability to provide consistent, on-site support. This position is located in Fort Worth, TX. It is required for candidates to be available to work 5 days in the office. Occasional remote work is supported when work duties require deep thinking or focused work.

Preferred:

  • Bachelorโ€™s degree in business or related field preferred.

  • Full-time position starting at a salary of $80,000. Final offer is determined by relevant experience, work history, education and internal equities.
