Job description

RAFT is seeking a highly organized, relationship driven Volunteer & Operations Specialist to help create an exceptional volunteer experience while supporting key operational functions. This position serves as the primary point of contact for volunteers during onsite and offsite events, ensuring they feel welcomed, engaged, and equipped to make a meaningful impact. This role is based in San Jose, CA and requires regular on-site work.
In addition to volunteer engagement, this role supports procurement, inventory management, and production operations through NetSuite ERP. The Volunteer & Operations Specialist maintains Bills of Materials (BOMs) for RAFT's STEAM kits, manages inventory accuracy, assists with purchasing activities, and provides cross-functional support to retail operations.

Sample of Things You'll Do:
Volunteer Engagement & Event Support
  • Serve as the primary support for onsite and offsite volunteer events.
  • Partner with the Volunteer & Event Coordinator to plan and coordinate volunteer activities and communications.
  • Welcome volunteers and orient them to projects and assignments.
  • Provide ongoing guidance, answer questions, and ensure volunteers remain engaged and productive.
  • Set up and break down volunteer workstations, including organizing, cleaning, and preparing materials.
  • Retrieve, stage, and replenish materials used during volunteer kit production.
  • Develop and implement volunteer recruitment strategies through community outreach, partnerships, online platforms, and stewardship of returning volunteers.

Operations & Inventory Management
  • Support the Production Director with NetSuite activities, including Bills of Materials (BOMs), purchasing, and inventory management.
  • Create and maintain accurate BOMs for RAFT's STEAM kits.
  • Source suppliers and evaluate products and services based on quality, cost, and delivery.
  • Prepare, issue, and close purchase orders.
  • Complete kit builds and inventory transactions within NetSuite.
  • Maintain inventory accuracy through cycle counts, audits, and root cause analysis of inventory discrepancies.
  • Support retail operations by processing cash, credit card, and purchase order transactions through the Point of Sale (POS) system.

Leadership Responsibilities
  • Supervise and provide direction to volunteer groups during onsite events.
  • Foster a welcoming, inclusive, and positive volunteer experience.
  • Promote a culture of teamwork, engagement, and service.

What We're Looking For:
  • Minimum of 2 years of experience in volunteer management, community engagement, nonprofit operations, or a related field.
  • Strong interpersonal skills with the ability to build relationships with volunteers, donors, and community partners.
  • Excellent verbal and written communication skills.
  • Strong organizational skills with the ability to manage multiple priorities in a fast paced environment.
  • Experience coordinating events or facilitating group activities.
  • Strong analytical skills with experience managing data, inventory, or Bills of Materials (BOMs).
  • Ability to work independently while collaborating across departments.
  • Ability to work on weekends
