Executive Assistant
Position Overview: LHH Recruiting is seeking a highly organized and detail-oriented Executive Assistant to support the VP and assist with day-to-day administrative and operational functions with our client in Chandler, AZ. This role is ideal for someone who thrives in a fast-paced environment, is proactive, and can manage multiple priorities while maintaining a high level of professionalism and discretion.
Key Responsibilities:
  • Manage and prioritize the VP's communications, including reviewing daily voicemails, preparing transcripts, and ensuring timely follow-up within 24 hours
  • Answer, screen, and direct incoming calls while maintaining a professional and welcoming front-office presence
  • Maintain and coordinate the VP's calendar, scheduling both internal and external appointments while balancing priorities
  • Track and reconcile expense reports for the VP and staff, including matching receipts and credit card transactions to statements
  • Support accounts payable processes using QuickBooks
  • Coordinate and arrange quarterly meetings and events
  • Organize weekly catering for multiple office locations, along with planning larger monthly, quarterly, and holiday events
  • Order and manage office supplies, snacks, and beverages for multiple offices
  • Oversee equipment logistics for field operations, including tracking, deployment, and monitoring alerts for specialized equipment
  • Administer and track client-related financial tools (e.g., controlled-use credit cards), including monitoring notifications and expiration timelines
  • Provide general administrative and operational support as needed to ensure business continuity
Qualifications:
  • 3+ years of Executive Assistant or senior administrative experience supporting leadership at a VP level.
  • Strong organizational skills with the ability to manage multiple priorities and deadlines
  • Excellent verbal and written communication skills
  • High level of professionalism, discretion, and attention to detail
  • Proficiency with Microsoft Office Suite
  • Ability to work independently and proactively solve problems
