Job Summary

*Personal Executive Assistant Role*
Start Date: Ideally ASAP, but finding the right fit comes first

Responsibilities and Duties
WHO/WHAT: What if your job was simply to make an exceptionally busy person's life work better? A highly accomplished Pittsburgh executive, entrepreneur, and former professor is looking for an equally exceptional Personal Executive Assistant to become his right hand-taking ownership of the countless moving pieces that don't require his particular expertise so he can devote more of his time to the things that do.
Six months ago, he launched a startup. Add fundraising, travel, a busy household of five, aging parents who live with the family for several months each year, and all the ordinary logistics of life, and there simply aren't enough hours in the day. He doesn't need someone waiting for a list. He needs someone who can look at the pace of his life, understand what needs to happen, and start making things happen.Think less "assistant waiting for assignments" and more "trusted operator who makes time appear."
One week, that might mean researching the best physical therapist for an injury, following up on recommendations, comparing options, and scheduling appointments around an already complicated calendar. The next, you could be planning fundraising travel, organizing a family weekend in NYC, coordinating bids for a basement renovation, finding an MMA instructor to come to the home, scheduling wealth management meetings, or figuring out how to finally get the attic cleared and workshop organized. You'll manage travel from beginning to end-not simply booking a flight and hotel, but thinking through the experience and providing clear, high-quality information that can be pulled up easily while traveling. You'll help protect blocks of uninterrupted time on the executive's calendar, coordinate personal and select business appointments, manage bills and deadlines, research and communicate with service providers and contractors, and occasionally assist with the children's activities, appointments, forms, and logistics while keeping both parents informed.
The family already employs a Home Manager, so this is not a traditional household management position. While an occasional household project may land on your plate, the heart of this role is executive-level personal support: research, coordination, scheduling, problem-solving, communication, logistics, and ultimately figuring out how to remove everything possible from an extremely busy executive's mental load. Within six months, the goal is for you to own virtually every aspect of his personal and professional logistics that does not specifically require his expertise. He wants to know that if something can be researched, scheduled, organized, coordinated, followed up on, or simply figured out by someone else, it no longer needs to occupy space in his brain.
The position offers significant flexibility, both in schedule and hours. Approximately 20 hours per week is a natural starting point, but there is no hard ceiling for the right person. Three longer days? Five shorter days? Interested in something closer to full-time? There is room to build a schedule around the strengths and availability of an exceptional candidate. More than anything, this family wants to find the right person and build the role from there. This person should be Pittsburgh-based and comfortable moving between the family's Fox Chapel home, the executive's Lawrenceville office, and wherever the day occasionally requires.
