Executive Assistant to the CFO
We are seeking a highly organized, analytical, and proactive Executive Assistant to support the Chief Financial Officer of a multi-entity supermarket business operating six retail grocery locations on Long Island. This is a senior-level executive support role for a professional who thrives in a fast-paced, highly regulated environment and enjoys combining executive coordination, finance support, and technology-enabled efficiency.
What You’ll Do
- Executive Support: Manage the CFO’s calendar, meetings, and priorities across internal and external stakeholders. Prepare agendas, take detailed meeting notes, track follow-ups, and ensure timely execution.
- Confidentiality & Liaison: Handle confidential and sensitive information with discretion and sound judgment. Serve as a trusted liaison with senior leadership, legal counsel, banks, auditors, and vendors.
- Data & Analytics: Build and maintain Excel-based trackers, schedules, and analytical reports. Apply advanced Excel capabilities including Pivot Tables, Power Query, XLOOKUP, and complex formulas. Assist with data cleaning, transformation, and workflow automation initiatives.
- Financial Reporting: Support finance reporting, dashboards, and analytics initiatives (Power BI experience is a strong plus). Leverage AI and automation tools such as Microsoft Copilot to improve productivity.
- Compliance & Administration: Coordinate administrative aspects of PACA licenses, liquor licenses, and related regulatory filings. Work with attorneys, accountants, and regulatory agencies on applications and renewals. Support general office administration and special projects as assigned.
What We’re Looking For
- Experience: Prior experience supporting senior or executive-level leadership.
- Technical Skills: Advanced Excel user (Pivot Tables, Power Query, XLOOKUP required). Familiarity with ERP systems such as NetSuite, SAP, Oracle, or similar platforms.
- Innovation: Interest or experience in AI, automation, and modern analytics tools. Exposure to Power BI and the Microsoft 365 ecosystem is preferred.
- Core Competencies: Exceptionally organized with strong attention to detail and follow-through. High integrity, professionalism, and discretion. Ability to manage multiple priorities independently in a fast-paced environment.
