Job description

Executive Assistant, Marketing – Pharmacy & Healthcare Delivery
Location: Woonsocket, RI (Hybrid: Tues/Wed on-site, M/Th/F remote)
Schedule: 8:30 AM – 5:00 PM, M-F preferred

Position Overview:
Seeking an experienced Executive Assistant to support our Marketing department within Pharmacy and Healthcare Delivery. This role provides high-level administrative support to senior executives and ensures smooth daily operations. The position includes maternity leave coverage for an FTE and requires strong organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment.

Key Responsibilities:

  • Provide complex administrative support for senior executives and leadership.

  • Coordinate and schedule meetings, reserve conference rooms, and plan large events.

  • Arrange domestic and international travel; submit expenses via Concur (preferred).

  • Manage office supplies, organize lunches, and ensure proper meeting setups.

  • Support onboarding of new hires with equipment and software setup.

  • Maintain confidential records, reports, financial documents, and departmental files.

  • Serve as a key point of contact for internal and external communications.

  • Back up other Executive Assistants as needed.

Required Qualifications:

  • 5+ years of experience as an Executive Assistant supporting high-level executives.

  • Proficiency in Microsoft Office (Outlook, Calendar, Word, Excel).

  • Strong problem-solving and decision-making skills.

Preferred Qualifications:

  • Concur system experience.

  • Bachelor’s degree or relevant professional qualification.

Travel & Onsite Requirements:

  • Hybrid schedule: 2 days on-site (Tues/Wed), 3 days remote (M/Th/F).

  • Occasional on-site presence may be required.
