As an Executive Assistant in our newly established Miami office, you will provide dedicated support to up to four senior executives while also supporting the management of office facilities and events. In this role, you'll play a key part in building and supporting the foundation of our growing team in this exciting new location. Your contributions will enhance the efficiency of our leadership, and your success will directly impact the overall success of the company.
Responsibilities
  • Executive Support:
    • Provide comprehensive administrative assistance to senior executives, including calendar management, meeting coordination, and travel arrangements
    • Manage and prioritize meeting requests, ensuring executives are well-prepared with necessary materials
    • Collaborate with Executive Support staff to ensure seamless coordination across the leadership team
    • Handle communication on behalf of executives in a clear, professional, and timely manner
    • Assist with project management, event planning, research, and IT support as required
    • Serve as onsite back-up for Office Manager, supporting onsite employees, candidates, vendors, and visitors

Requirements
  • 3+ years of experience in administrative support
  • Proven experience supporting multiple senior executives in both in-person and remote environments
  • Excellent organizational and communication skills; professional, clear, and courteous in all interactions
  • Meticulous attention to detail and accuracy
  • Ability to manage tasks independently, prioritize effectively, and adapt to changing demands
  • Proficiency with MS Outlook calendaring, Word, Excel, and PowerPoint; experience with Atlassian and other Agile Project Management tools (Jira, Confluence, Smartsheet) is a plus
  • Experience with GenAI tools and technologies is a plus
  • Expected to work onsite Tuesday-Thursday, with flexibility to work onsite additional days as needed
  • Ability to travel occasionally
  • Bachelor's degree (preferred but not required)
  • Authorized to work in the United States
