Job Summary - Provides comprehensive administrative support to three executives with Owens & Minor. Provide day-to-day support exercising discretion with respect to prioritization of agenda items. Prepares highly sensitive executive materials and acts independently as project manager for projects as needed.

The anticipated salary range for this position is $75,000 - $85,000 annually. The actual compensation offered may vary based on job-related factors such as experience, skills, and education. This position is onsite at the Owens & Minor corporate office in Henrico, Virginia.

Core Responsibilities-

Provides all administrative support functions for leadership and others as designated, including communications coverage, high volume travel coordination (including full itinerary creation), calendar and scheduling, expense reports and invoice processing, and payment records maintenance for external professional fees and services.

Manages and maintains multiple calendars and coordinates a variety of complex meetings.

Independently creates, edits, and/or prepares presentation materials for top-tier clients, executives and similar audiences.

Prepares and reviews correspondence, notices, memoranda, and reports independently and/or at the direction of leadership within the team. Assists in answering questions and responding to requests directed to the leadership team.

Acts as a confidential assistant, preserving the confidentiality of organizational and teammate information. Assists with confidential and/or sensitive matters; provides explanation and support where needed.

Acts as primary Project Manager for confidential projects as required to ensure seamless coordination of multiple resources and drive successful outcomes.

Develops, coordinates, organizes and implements tracking systems to monitor leadership matters, projects, assignments, and deadlines. Creates and maintains databases, summaries, tables, and charts to facilitate effective and efficient completion of projects and assignments.

Manages executive travel, coordination and support of executive meetings/events.

Qualifying Experience -

5+ years' experience supporting executive level management.

Excellent verbal and written and organizational skills.

Must be an independent thinker and able to anticipate; and proactively initiate action to plan for go forward meetings.

Great attention to detail; must be able to work with the highest level of confidentiality and discretion when required.

Must be able to function in a fast-paced and at times, demanding environment.

Advanced knowledge of Microsoft Office Suite - specifically Word, Excel, PowerPoint, and Teams

Ability to work independently and handle multiple projects while meeting deadlines and time constraints.
