Executive Assistant

Summary - The Executive Assistant to the CEO provides high-level administrative and strategic support. This role requires exceptional organizational skills, professionalism, discretion, and the ability to manage multiple priorities in a fast-paced executive environment. The Executive Assistant serves as a key partner to the CEO by managing communications, coordinating executive activities, preparing professional presentations, documenting meeting outcomes, and driving follow-through on critical business initiatives. The ideal candidate is proactive, detail-oriented, highly polished, and capable of interacting effectively with senior leadership, internal stakeholders, and customers.

Responsibilities -

  • Manage and maintain the CEO's calendar, scheduling internal and external meetings, travel, and executive priorities
  • Coordinate domestic and international travel arrangements, including itineraries, accommodations, and expense reporting
  • Handle confidential and sensitive information with the highest level of professionalism and discretion
  • Prioritize incoming requests and communications to ensure efficient executive workflow
  • Attend executive and leadership meetings alongside the CEO to document detailed meeting notes, action items, and key decisions
  • Track and follow up relevant personnel within the organization on open action items to ensure accountability and timely completion
  • Drive and manage marketing campaigns, e.g. linked in posts, internal newsletters, etc, with communications department
  • Prepare meeting agendas, executive presentation materials, and executive summaries
  • Coordinate leadership team meetings, offsites, and strategic planning sessions
  • Develop high-quality executive presentations and reports for leadership meetings, board reviews, customer presentations, and strategic initiatives
  • Support preparation of speeches, talking points, and executive correspondence as needed
  • Support cross-functional initiatives by coordinating timelines, deliverables, and communication among stakeholders.
  • Monitor progress on strategic initiatives and provide status updates to the CEO
  • Assist with special projects and executive-level priorities as assigned
  • Maintain organized records, files, and documentation for executive activities
  • Process expense reports, invoices, and other administrative documentation accurately and timely

Qualifications -

  • Bachelor's degree preferred and/or equivalent professional experience
  • 5+ years of experience supporting senior executives, preferably at the C-suite level
  • Advanced proficiency in Microsoft Office Suite, especially PowerPoint, Excel, Outlook, and Word
  • Strong written and verbal communication skills
  • Exceptional organizational and time management abilities
  • Ability to manage multiple priorities with strong attention to detail
  • Proven ability to maintain confidentiality and exercise sound judgment
  • Strong interpersonal skills with the ability to interact effectively across all organizational levels

Physical Demands -

Employees in this position are regularly required to walk, stand and use hands to finger, handle or feel. They are frequently required to reach with hands and arms. They are often required to sit, stoop, kneel, crouch, or crawl. Employees are required to talk and hear in an industrial setting (noise level can be high at times) and regularly required to lift 10 pounds and occasionally required to lift up to 50 pounds.
