Camaraderie Clubs, a premier private club management company, is seeking a Club Events Coordinator to join The Huntington Club. This role is responsible for planning, coordinating, communicating, and executing member events, golf tournaments, sponsored events, and club programming while serving as the operational liaison between departments.
How You Will Make a Difference
The Club Events Coordinator owns the execution of the Club’s event experience. Working closely with the General Manager, Director of Food & Beverage, Golf, Racquets, Membership, Facilities and Culinary teams, this position ensures every member event is professionally planned, communicated and executed while maintaining an exceptional member experience.
How You Will Do It
- Serve as the Club’s primary point of contact for all incoming event inquiries from members; this role owns the intake process from first contact through handoff.
- Receive, coordinate and execute the following event types exclusively: Club-programmed member events, member-sponsored celebrations (celebrations of life, birthdays, anniversaries, and milestone celebrations), and Monday golf tournaments. With the exception of Monday golf tournaments, this is not a sales position — member events and celebrations originate from member requests or Club programming.
- Prepare all event contracts and Banquet Event Orders (BEOs); ensure accuracy of event details, timelines, F&B minimums, and member expectations prior to handoff.
- Formally transition all contracted events to the Banquet Team and Food & Beverage Team with complete documentation, conducting pre-event briefings to ensure seamless operational execution.
- Actively sell and manage Monday golf tournaments end-to-end, including promoting tournament participation to members, coordinating with the Golf team, scheduling of F&B, and distribution of tournament BEOs to all relevant departments.
- Maintain the Club’s rolling 18-month Master Calendar, ensuring all events are accurately reflected and communicated across departments.
- Coordinate event logistics with Golf, Racquets, Food & Beverage, Culinary, Facilities and Membership teams.
- Schedule entertainment, rentals, décor, AV and outside vendors as needed for assigned events.
- Assist with room layouts, diagrams and event setup plans in advance of Banquet Team handoff.
- Partner with Marketing on event flyers, emails and member communications.
- Track attendance, event budgets and performance metrics; conduct post-event recaps to support continuous improvement.
- Provide exceptional member service throughout the planning and contracting process; once an event is handed off, the Banquet and F&B Teams assume operational responsibility for execution.
- Perform additional duties assigned by the General Manager.
