Job Summary
KBR is seeking a highly experienced Senior Administrative Assistant to support a senior leader based at Redstone Arsenal, Alabama. The ideal candidate is a proactive, resourceful administrative professional who excels in high-visibility environments and demonstrates exceptional judgment, organizational skills, and attention to detail. Success in this role requires the ability to anticipate needs, balance competing priorities, and assist in driving outcomes with minimal supervision while contributing as a collaborative member of a high-performing team.
Roles and Responsibilities
  • Prepare travel authorizations, orders, and vouchers using the Defense Travel System (DTS).
  • Develop detailed travel itineraries and coordinate reservations, lodging, transportation, and logistics.
  • Prepare Aircraft and Personnel Automated Clearance System (APACS) requests and support compliance with the Foreign Clearance Guide. Assist with passport and visa applications and foreign travel requirements.
  • Manage and maintain complex calendars, schedules, and appointments to include supporting calendar synchronization meetings.
  • Receive and screen incoming calls, visitors, and correspondence, determining priorities and directing inquiries appropriately.
  • Maintain files, records, and critical program documentation for rapid retrieval and accessibility
  • Review correspondence packages to ensure completeness, routing requirements
  • Anticipate leadership information requirements and proactively gather, organize, and summarize relevant materials.
  • Prepare executive briefing materials, and meeting packages.
  • Keep leaders informed of upcoming commitments, deadlines, and priority actions.
  • Perform final administrative edits and quality reviews prior to executive signature or approval
  • Assist in coordinating meetings, conferences, and leadership engagements.
  • Manage visit requests and logistics for senior-level visitors, including military and government officials.
  • Support workforce events, ceremonies, command functions, and official engagements.
  • Serve as the owner for recurring administrative processes, reports, and deliverables.
  • Track suspense actions and follow up with stakeholders to ensure timely completion.
  • Identify and implement process improvement opportunities that enhance executive and team effectiveness.
  • Adjust priorities and schedules based on evolving business needs and strategic objectives.

Basic Qualifications
  • Active Secret Security Clearance
  • Advanced proficiency in Microsoft Office 365 applications,
  • Bachelor's degree from an accredited institution; or High school diploma/equivalent with 10+ years relevant experience supporting senior executives.

Desired Qualifications
  • Experience supporting executives within Army, DoD, or federal civilian organizations
  • Knowledge of military protocols, executive correspondence standards, and senior-level staff operations.
  • Experience coordinating foreign travel and clearance requirements
  • Experience coordinating travel through the Defense Travel System (DTS).
  • Proven ability to operate effectively in fast-paced, high-visibility environments
  • Outstanding verbal, written, and interpersonal communication skills.
  • Exceptional organizational and time-management skills with the ability to manage multiple priorities simultaneously.
  • Ability to work independently and proactively anticipate executive needs.
