Job description

We are a well-established Canadian organization that has built a strong reputation for delivering high-quality medical equipment, healthcare supplies, and clinical solutions to healthcare providers across the country. For decades, we have partnered with hospitals, long-term care facilities, emergency medical services, government agencies, clinics, dental practices, home healthcare providers, and other healthcare organizations, providing reliable products backed by exceptional customer service and industry expertise.

Our success has been driven by long-term relationships, operational excellence, and a commitment to supporting the professionals who care for others every day. As we continue to expand our operations and invest in future growth, we remain focused on building a collaborative, team-oriented culture where employees are empowered to contribute, develop professionally, and make a meaningful impact. We are seeking an experienced Executive Assistant who enjoys working in a dynamic environment and wants to become a trusted partner to senior leadership while playing an important role in the continued success of the organization.

This is a highly visible position that will provide direct administrative and organizational support to executive leadership while helping ensure the day-to-day operations of the office run efficiently. The ideal candidate is someone who thrives in a fast-paced environment, enjoys solving problems before they arise, and takes pride in staying organized, managing multiple priorities, and keeping projects moving forward. You will become an essential extension of the executive team, helping coordinate schedules, meetings, communications, and administrative initiatives while maintaining the highest level of professionalism and confidentiality.

Beyond traditional executive support responsibilities, we're also interested in candidates who are comfortable assisting with basic social media activities. This is not a dedicated marketing role, nor are we looking for a social media expert. Rather, we'd like someone who is familiar with today's social platforms and can assist with simple tasks such as scheduling posts, coordinating content, making basic updates, or supporting the company's online presence when needed. This position offers an excellent opportunity for someone who enjoys variety in their day, values working closely with leadership, and wants to contribute across multiple areas of a growing business.

Responsibilities
  • Provide day-to-day administrative support to executive leadership.
  • Manage complex calendars, appointments, meetings, and travel arrangements.
  • Screen and prioritize emails, phone calls, and correspondence.
  • Prepare reports, presentations, meeting agendas, and professional documents.
  • Coordinate internal meetings, take meeting notes, and follow up on action items.
  • Organize files, records, and confidential documents with a high level of discretion.
  • Assist with office administration and special projects as assigned.
  • Coordinate communication between executives, employees, customers, and external partners.
  • Track deadlines and ensure key initiatives remain on schedule.
  • Support event planning and internal company activities when needed.
  • Assist with basic social media tasks, including scheduling posts, coordinating content, and maintaining an active online presence.
  • Handle additional administrative and operational duties as the business continues to grow.
Qualifications
  • Previous experience as an Executive Assistant, Administrative Assistant, Office Manager, or in a similar administrative support role.
  • Exceptional organizational and time management skills.
  • Strong verbal and written communication abilities.
  • Professional, polished, and highly dependable.
  • Ability to handle confidential information with discretion.
  • Strong attention to detail and ability to prioritize competing responsibilities.
  • Proficiency with Microsoft Office (Outlook, Word, Excel, PowerPoint).
  • Comfortable learning new software and technology.
  • Basic familiarity with social media platforms such as LinkedIn, Facebook, Instagram, or similar.
  • Self-motivated, proactive, and capable of working independently.
  • Positive attitude with a willingness to support a variety of business functions.
  • Must be able to work full-time in the office.
Compensation & Benefits
  • Salary: $50,000-$60,000 annually, based on experience.
  • Full-time, permanent position.
  • In-office work environment.
  • Paid vacation and company holidays.
  • Stable organization with long-term career growth opportunities.
  • Collaborative, supportive, and team-oriented culture.
  • Opportunity to work closely with executive leadership and gain exposure to multiple areas of the business.
  • A role where your contributions will have a direct impact on the efficiency and success of the executive team and the organization as a whole.
