Executive Assistant Full-Time

Job Purpose: This position assists the Managing Director and the Executive team with any tasks necessary to help the property operations run smoothly. Tasks include anything from greeting guests, administrative duties, attending meetings, and facilitating communication between all the various departments. Communicates with hotel guests/vendors, partners, sponsors, etc.

Qualifications and Requirements:

Essential:

  • Understanding: Ability to read, comprehend and carry out instructions according to established procedures
  • Comprehension: Fluent in the English language
  • Organizational Skills: Work efficiently, utilize multi-tasking, prioritize tasks
  • Hygiene and Sanitation: Adherence to uniform, grooming, and personal hygiene standards and expectations per SOPs
  • Punctuality: Adherence to posted schedule and arrival time and attendance at mandatory meetings when scheduled
  • Responsibility: Personal comportment in line with Standard, New York policies, standards, and expectations
  • Organizational and planning skills
  • Meticulous attention to detail and eye for accuracy
  • Impeccable discretion and confidentiality
  • Excellent written and oral communication skills
  • Problem analysis and problem-solving skills
  • Superb judgment and decision-making ability
  • Proactive initiative and flexibility
  • Knowledge of Opera Cloud, Tripleseat, and Envision Preferred

Desirable:

  • 3 years of experience providing professional office support
  • Proficient computer skills and in-depth knowledge of relevant software such as MS Office Suite and Excel
  • Knowledge of Opera preferred but not essential
  • Knowledge of standard office administrative practices and procedures

Essential Job Functions and Responsibilities:

  • Provide support to the Managing Director and the Executive Team of a 338-room Lifestyle boutique hotel with seven food and beverage outlets and 800+employees
  • Positively represent the MD and enhance the MD's effectiveness by maintaining relationships with internal teams
  • Serve as a liaison between the MD and all hotel departments, guests, clients, and corporate office
  • Manage and maintain Managing Director and the Executive Team's schedule, appointments, and travel arrangements
  • Communicate daily activities, allocate time, and coordinate workflow; identify any schedule conflicts and changes
  • Brief and update MD and Executive Team on all issues relevant to the operation of the hotel by attending a variety of department meetings
  • Confirm and update room and restaurant/bar reservations for GAW Capital and GCPH NY OPCP Representatives; notify Front Office and F&B department heads
  • Office administration (accounting, office supplies, meeting room requests, showroom requests, sales gift inventory);
  • Maintain Opera Cloud/Tripleseat/Envision databases
  • Assist with PowerPoint/Keynote Presentations
  • Assist with Estimates, Purchase Orders, Invoice Processing, Tracking, etc.
  • Proactively execute any tasks required by the Managing Director
  • Answer and manage incoming calls
  • Greet MD and Executive Team's visitors and guests in the lobby; escort and seat in the appropriate outlet
  • Partner with the Executive Committee and provide support as an extension of the team
  • Prepare communications, presentations, and other documents
  • Process monthly expense reports
  • Attend daily morning meetings and provide any relevant updates on behalf of the MD
  • Field donation requests for approval and oversee the processing of gift certificates with accounting
  • Receive and route all internal and external employee/friend and family rate requests
  • Interact with Executive Assistants across The Standard brand
  • Remain the direct on-property contact for the Executive Assistants to the Managing Partner and Chairman
  • Confirm and update room and restaurant/bar reservations for the Chairman, Managing Partner, Chief Operating Officer, and building owners; notify Front Office and F&B department heads
  • Liaise with Sales Coordinator to provide welcome notes and amenities from the MD for VIP guests
  • Advises Human Resources of MD's availability to meet with key candidates
  • Attend and accompany MD and Executive Team on weekly walk-through of public spaces and guestrooms for quality control initiatives and follow up where necessary
  • Work with Executive Team to advise MD of negative online reviews which require communication on behalf of or from the MD

  • $30.00 - $35.00 per year
