Job description

We are seeking a highly organized, dependable, and proactive Executive Assistant / Operations Coordinator to support a business owner involved in multiple ventures, including construction and engineering-related operations. Primarily based in Nashville with occasional visits to local business locations and project sites. This role has the potential to grow into a full-time Operations Coordinator or Chief of Staff position as the organization expands.

This is a dynamic role for someone who enjoys variety, solving problems, and helping keep multiple projects and business operations running smoothly. No two days are exactly alike. One day may involve coordinating meetings and vendors, while another may involve assisting with project documentation, business correspondence, travel arrangements, or operational support across multiple businesses.

The ideal candidate is professional, resourceful, detail-oriented, and capable of managing multiple priorities with minimal supervision.

Responsibilities:
• Manage calendars, appointments, meetings, and scheduling
• Coordinate travel arrangements and business logistics
• Assist with project tracking and administrative support
• Communicate with vendors, contractors, suppliers, and business partners
• Organize records, files, and business documentation
• Draft emails, correspondence, and reports as needed
• Support multiple business operations and locations
• Assist with special projects and day-to-day business needs
• Handle confidential information with professionalism and discretion


Qualifications:
• Previous Executive Assistant, Administrative Assistant, Office Manager, or Business Coordinator experience preferred
• Strong organizational and multitasking skills
