Executive Assistant & Operations Associate

Venn is looking for an Executive Assistant & Operations Associate in this blended role to support the daily administrative and operational functions of our business. This position works closely with the Vice President of Operations & Programs and the Senior HR Manager to ensure smooth internal processes. This position also provides Executive Assistant support to one of our Principals on the Management Team. Administrative responsibilities include interfacing with clients and Venn staff, scheduling meetings and appointments, making travel arrangements, providing business relationship support, handling some research assignments, and assisting with other office tasks as needed.

This role combines strategic executive support with operational execution that will generally see the Associate spend each week dividing their time equally between all responsibilities, though that obviously will ebb the flow each week depending on assignments.

Responsibilities:

  • Provide day-to-day administrative support, including calendar management, scheduling, meeting coordination, travel arrangements, and other operational tasks as needed for a Principal on the Management Team.
  • Support HR administrative needs, including interview coordination and internal meeting scheduling.
  • Contribute to website updates, digital platforms, and tools such as Substack and webinar series.
  • Assist with client onboarding and offboarding processes.
  • Help develop, organize, and refresh operational documents, templates and resources.
  • Support compliance processes (quarterly reporting, filings etc.).
  • Provide general operational and administrative support for various projects as needed.

Preferred Qualifications:

  • Associate's degree in business admin or a related field preferred
  • 2-3 years of in-office Operations or Executive Assistant experience
  • Excellent verbal and written communication skills
  • Familiarity with HR processes and procedures preferred
  • Clear sense of confidentiality when conducting business on behalf of the firm
  • Strong attention to detail and organizational skills
  • Proficiency in Microsoft Office Suite
  • Strong proficiency with Microsoft Excel
