Job Title: Inventory Specialist

Job Description

The Inventory Specialist plays a key role in maintaining accurate inventory records, coordinating project shipments, and supporting overall warehouse and operations activities. This position manages inventory tracking spreadsheets, oversees documentation for materials moving in and out of the warehouse, and collaborates closely with production, procurement, and leadership to ensure smooth, efficient operations.

Responsibilities

  • Maintain and update inventory tracking spreadsheets and records to ensure accurate, up-to-date information.
  • Coordinate with the Production team to organize projects scheduled for shipment or completion, ensuring materials and timelines align.
  • Prepare and manage pickup schedules and logistics for outgoing and incoming materials and projects.
  • Communicate with vendors regarding purchase orders, order status updates, and general inquiries to support procurement and inventory needs.
  • Assist with administrative tasks, including organizing paperwork, filing, and scanning documents related to inventory and operations.
  • Collect, organize, and maintain documentation for materials received at the warehouse, ensuring proper tracking and compliance.
  • Verify incoming and outgoing materials to ensure accuracy in quantities, descriptions, and documentation.
  • Arrange materials and services as needed by the operations team to support project execution and daily activities.
  • Maintain accurate records of projects leaving the warehouse, including documentation of materials used and shipped.
  • Investigate and resolve inventory and material discrepancies by reviewing records, coordinating with internal teams, and contacting vendors when necessary.
  • Support the Head of Inventory & Operations with additional operational and administrative tasks as needed, contributing to process improvement and structure within the function.

Essential Skills

  • Proficiency in inventory management and inventory tracking using spreadsheets and digital tools.
  • Strong data entry skills with a high level of accuracy and attention to detail.
  • Experience or familiarity with supply chain and procurement processes.
  • Proficient computer skills, including Microsoft Excel and other Microsoft Office applications.
  • Strong written and verbal communication skills for effective interaction with internal teams and external vendors.
  • Excellent organizational skills with the ability to maintain structured records and documentation.
  • Ability to prioritize multiple tasks and meet deadlines in a fast-paced environment.
  • Demonstrated reliability, professionalism, and dependability in day-to-day responsibilities.
  • Strong work ethic and willingness to take ownership of tasks and outcomes.

Additional Skills & Qualifications

  • Experience in inventory, warehouse operations, purchasing, or administrative support is preferred but not required.
  • Associate degree required; bachelor’s degree preferred.
  • Highly organized and detail-oriented with the ability to create and maintain efficient processes.
  • Resourceful problem solver who can work independently to resolve issues and improve workflows.
  • Comfortable making decisions and taking initiative in both office and warehouse settings.
  • Interest in process improvement and creating structure within a growing operations function.
  • Ability to collaborate effectively with operations, production, procurement, and leadership teams.

Work Environment

This is an on-site role based in Elkridge, MD, reporting into the operations leadership team. The Inventory Specialist works alongside an existing procurement and inventory team member and supports the broader operations and inventory function. The position offers a split environment: approximately half of the time is spent in an office setting focused on Excel, spreadsheets, reporting, documentation, vendor communication, and inventory tracking, while the other half is spent in the warehouse coordinating material movement and pulling materials without a heavy labor emphasis. The organization features a flat structure that provides exposure to leadership across the company, including direct visibility to senior operations executives. The environment is fast-paced, collaborative, and well-suited for individuals who enjoy problem solving, process improvement, and building structure in a growing company.

This is a Contract to Hire position based out of Elkridge, MD.

Pay and Benefits

The pay range for this position is $28.84 - $33.65/hr.
