What are the key skills and qualifications needed to thrive as an executive assistant office manager, and why are they important?

To thrive as an Executive Assistant Office Manager, you need strong organizational skills, attention to detail, and proficiency in business administration, often backed by relevant experience or an associate's or bachelor's degree. Mastery of office software (such as Microsoft Office Suite), calendar management systems, and sometimes familiarity with project management tools or certifications like CAP (Certified Administrative Professional) is highly valued. Exceptional communication, discretion, and multitasking abilities help you manage executive needs and office operations seamlessly. These skills and qualities are crucial for ensuring efficient workflow, supporting executive productivity, and maintaining a well-coordinated workplace.

Who gets paid more, an executive assistant office manager or an executive assistant?

An executive assistant office manager typically earns a higher salary than an executive assistant because the office manager role involves broader responsibilities, including supervising staff, managing office operations, and handling administrative tasks. Salaries can vary based on experience, industry, and location, but office managers generally have higher compensation due to their additional managerial duties.

What is an executive assistant office manager?

Executive Assistant Office Managers are professionals who provide high-level administrative support to executives while also overseeing the daily operations of an office. Their responsibilities often include managing schedules, organizing meetings, handling correspondence, supervising administrative staff, and ensuring the smooth functioning of office procedures. They serve as a vital link between upper management and other employees, helping to coordinate activities and improve office efficiency. This dual role requires strong organizational, communication, and multitasking skills. Executive Assistant Office Managers often work in fast-paced environments and need to handle sensitive information with discretion.

How does an executive assistant office manager balance supporting executive leadership with managing office operations?

An Executive Assistant Office Manager often juggles dual responsibilities by strategically prioritizing tasks and maintaining clear communication. Supporting executive leadership may involve managing calendars, preparing reports, and handling confidential correspondence, while office management includes overseeing administrative staff, supplies, and facility needs. Success in this role hinges on adaptability, strong organizational skills, and the ability to delegate when possible. Collaboration with other departments and proactive problem-solving are also key to ensuring both executive and office needs are met efficiently.

Job description

Signal Advisors is on a mission to solve the retirement crisis. 69% of Americans do not work with a financial advisor today, and only a quarter have a financial plan. Our team is reimagining a 60-year-old industry-bringing new technologies, comprehensive services, and an inspired vision to financial advisors. Supported by our incredible investors, we've grown from a small Detroit-based team in 2020 to over 130+ team members dispersed across the country.
We are: Empowering Leaders. Client Advocates. Entrepreneurial Champions.
Our team is a blend of industry experts and technologists building a better business, together. We're in it for the long haul. Are you looking to be part of a dedicated, dispersed team where you can architect your impact and shape the company's vision? Join us at Signal!
THE JOB
As the Executive Assistant & Office Manager, you will be the heartbeat of our Detroit headquarters and a critical partner to our leadership team. You will ensure our executives are focused on high-impact work by managing complex schedules, while simultaneously creating a world-class office environment that embodies the Signal culture for our local and visiting team members and our customers.
You will act as the connective tissue of the organization, ensuring that the trains are running on time and managing our physical space and executive team schedules with strong attention to detail.
WHAT YOU'LL GET TO DO
  • Executive Support: Manage complex, ever-shifting calendars for key executives, prioritizing meetings with a high level of awareness of business needs.
  • Office Stewardship: Own the day-to-day operations of our Detroit office, including vendor management, supply procurement, and ensuring the space is always client-ready.
  • Travel & Logistics: Coordinate seamless travel arrangements and detailed itineraries for executives and visiting team members.
  • Culture & Events: Partner on the execution of team-building events, local office lunches, and assist with other internal and external events.
  • Special Projects: Take ownership of administrative projects, from internal communications to document preparation.

WHAT WE'RE LOOKING FOR IN TEAM MEMBERS
  • The "Inches" Mentality - You notice the small things, like a dying office plant, a typo in a memo, or a scheduling conflict, and fix them before they become issues.
  • Scrappy & Agile - You thrive in a fast-paced environment and are ready to experiment as we scale our Detroit presence.
  • Client Obsessed - You treat every team member and visitor like a VIP client, seeking to amaze them with every interaction.
  • Extreme Ownership - You embody accountability and ownership by taking the initiative to solve problems without being asked.
  • Adaptability - You are flexible and adaptable to changes needs, last minute pivots, and a dynamic environment.

WHAT YOU HAVE
  • Proven experience as an Executive Assistant, Office Manager, or similar administrative role in a fast-growing company.
  • High proficiency with Google Workspace (Gmail, Calendar, Docs, Slides) and Slack.
  • Strong organizational skills with a "measure twice, cut once" approach to logistics.
  • Exceptional written and verbal communication skills; you can distill complex plans into simple updates.
  • The ability to be in-office 5 days a week to maintain our physical office.

WHAT WE VALUE @ SIGNAL
These are the values that drive how we operate and make decisions.
We're obsessed with finding a better way. Never settle for less.
We act with a sense of urgency. We use our best judgment to act urgently on the right things at the right time.
We raise our level of awareness. Everything starts with awareness. We're curious and alert to what is happening around us.
We find inches everywhere around us. There are thousands of opportunities to make an impact. We take those opportunities and act.
We do the right thing. Sticking to the highest standard of integrity is not optional.
We have strong opinions, loosely held. It's not about WHO is right, it's about WHAT is right.
Simplicity is Genius. Simplicity doesn't just clarify; it makes things better for everyone. It's that simple.
Ideas are valued, execution is worshiped. Great ideas get you to the 50-yard line; outstanding execution gets you into the end zone.
We are the "they". There is no "they". We are empowered to fix things, to be proactive, to find a solution.
We launch big ideas and then obsess over feedback to learn how we can make it even better.
COMPENSATION & BENEFITS
The US base salary for this full-time position is determined by role, level, and location. Individual pay is determined by work location and additional factors, including interviews and a review of education, experience, knowledge, skills, abilities of the applicant, equity with other team members, and alignment with market data.
