Job description

Cervello Global Corporation is seeking an Executive Assistant to support Headquarters Marine Corps, Combat Development & Integration (CD&I) is executing Force Design initiatives, requiring high-tempo, executive-level administrative support to the Assistant Deputy Commandant (ADC). This role ensures disciplined schedule control, travel execution, stakeholder coordination, and timely deliverables for senior leadership. An active Secret security clearance is mandatory.

What You’ll Do?

KEY RESPONSIBILITIES:

  • Tasker & Correspondence Management (ETMS2): Intake, route, and track taskers; draft and finalize remarks/reports; maintain working drafts/finals on CD&I share drives and DON SharePoint/web repositories (e.g., TMS2); manage comment resolution matrices (CRMs) as required.
  • Executive Admin & Communications: Prepare memos/letters/binders; format to Department of the Navy standards; answer and log calls; process in/out communications (including classified); manage office supplies and rosters.
  • Meetings/Events: Coordinate calendars (Microsoft Outlook), agendas, read-ahead binders, and minutes; de-conflict schedules; arrange rooms within the Pentagon and within 15 miles of the Pentagon; notify stakeholders of changes.
  • Records & Document Services: Copy/print/scan/shred/fax; maintain paper/electronic files; never leave documents unattended at devices; upload to share drives/SharePoint.
  • Defense Travel System (DTS): Prepare itineraries/orders; review authorizations and vouchers for JTR compliance and forward within four (4) business hours of submission; retain receipts per JTR (6 years, 3 months).
  • DISS & Classified Visits: Transmit security clearance information and process visit requests (VARs) for classified meetings.
  • IT & Facility Requests: Submit and track tickets using HQMC systems; employ a Calendar Request Form to capture BLUF, attendees, outcomes, and VTC/telecon needs.
