As an Executive Assistant in Design, you'll be responsible for keeping VPs and their pillars organized as we scale for growth. In this role, you'll work directly with your leaders to manage day-to-day administrative and operational needs, partner closely with their leadership teams, and collaborate cross-functionally within the broader Tech Org. As a strategic partner with an eye for identifying gaps, you will drive processes, rhythms, and operate as a trusted partner across various stakeholders to drive outcomes. Our Design team is growing quickly, which provides an opportunity to have a tremendous impact on the success of our product and Figma as a whole.
This is a full-time role that can be held from one of our US hubs (SF or NYC) or remotely in the United States. Note: the role requires working PT hours.
What you'll do at Figma:
  • Proactively manage VP calendars, meetings, business travel arrangements, and expenses
  • Act as a delegate for the VP, signing off for expenses, PO approval, and various other tooling (as needed) with careful attention to internal policy
  • Partner with operations leadership to craft agendas and logistics for seamless large-scale meetings-tracking content readiness, taking notes, and pushing forward on relevant action items
  • Identify opportunities for workflow optimization around business deliverables, VP efficiency, and function or company rhythms
  • Be a strategic thought partner to the CDO's EA, VPs and their leadership teams, with a focus on design operations, process, and long-term planning
  • Drive outcomes for complex problems across internal teams to ensure cross-functional alignment on projects, company milestones, and internal events
  • Build culture and connection across company hubs and remote Figmates, bringing the team together and embodying Figma's 'Play' value

We'd love to hear from you if you have:
  • 5+ years of executive support within a fast-paced tech environment, fully grasping the ability to anticipate tradeoffs and act independently to make decisions
  • An affinity for AI and the ability to build creative workflows to improve operational efficiency
  • Strong written and verbal communication skills, with sharp judgment and experience as a trusted thought partner to leaders-surfacing risks, influencing priorities, shaping how their time is spent, and representing leaders across internal and external stakeholders in person, virtually, and via email, while being unafraid to provide pushback and upward feedback
  • A thoughtful and inclusive lens with a track record of trustworthiness, reliability, and discretion with confidential information
  • Advanced-level skills in Google Suite products (Gmail, GCal, Google Drive - Docs, Sheets)

While it's not required, it's an added plus if you also have:
  • An affinity for Figma and an interest in becoming an expert in our product
  • Previous experience supporting technical or AI-focused teams

Pay Transparency Disclosure
Job level and actual compensation will be decided based on factors including, but not limited to, individual qualifications objectively assessed during the interview process (including skills and prior relevant experience, potential impact, and scope of role), market demands, and specific work location.

Figma provides paid sick leave, holidays, and other leave benefits in compliance with applicable federal, state, and local laws, including the requirements of the Washington Minimum Wage Act and related regulations. Exempt employees are eligible for employer-provided paid flexible PTO in addition to flexible paid sick leave. PTO is subject to manager approval. Additional benefits may include company recharge days, cell phone and home internet reimbursements, and a number of lifestyle spending accounts. Figma also offers sales incentive compensation for most sales roles and an annual bonus plan for eligible non-sales roles. All compensation and benefits are subject to applicable plan terms and may be modified by Figma at any time, consistent with applicable law.
Annual Base Salary Range:
$127,000-$221,000 USD
