Job Description Summary

Cushman & Wakefield's New York Midtown office is seeking an experienced C-suite Executive Administrator to support Executive Brokers in handling all administrative and strategic initiatives required to facilitate the transaction of Cushman & Wakefield's commercial real estate business.

Job Description

Principal Responsibilities

  • Assist Executive Broker with managing their complex business operations to ensure administrative, financial, and operational activities are performed in a seamless and efficient manner
  • Provide oversight and guidance, organize, and prioritize critical issues
  • Anticipate Executive Broker, client and business needs and undertake necessary actions to produce effective resultstimely
  • Manage and organize complex calendar activities such as meetings, agendas, luncheonarrangementsand travel plans; work around scheduling conflicts and keeping Executive Broker on schedule
  • Assistin planning and coordinating complex travel arrangements
  • Manage email correspondence for Executive Broker promptly. Reply where necessary, print attachments, follow up on actions, flagurgent messages. File inappropriate folders
  • Update andmaintaincontacts, telephonenumbersand email addresses
  • Manage CRM
  • Manage deal booking process
  • Coordinate and track presentations and client deliverables, ensuringtimelycompletion
  • Prepare site search / space survey tour book presentations in PowerPoint and maps,leveragingdata from CoStar and from calling/emailing brokers for information
  • Draft proposals and RFPs and assemble proposal matrix / summary packages for client's review
  • Answer and screen all incoming calls to Executive Brokers office
  • Organize and input broker expenses and charitable contributions, trackpaymentsand allowances
  • Support Executive Broker's community and industry activities and events
  • Ensure that education,credentialsand licensing ofbrokersis current
  • Prepare,collectandmaintaininformation for the preparation of confidential reports, proposals, and other materials
  • Provide PTO coverage to colleagues
  • And any other duties as requested

Minimum Qualifications

  • 10+ years of executive administrative experience supporting corporate c-suite professional/s, real estate background preferred
  • Bachelor's degreerequired
