Typical duties include answering phones, managing emails, scheduling appointments, filing documents, and supporting other staff with various office tasks. These roles are common in a wide range of industries and can offer flexible hours, making them suitable for students, parents, or anyone needing a non-full-time schedule.

What are the key skills and qualifications needed to thrive as a part time admin?

Job description

Job Description Our client, a growing financial services organization, is seeking a personable and proactive Part-Time Office Assistant to support its New York City office. This is a front-facing role supporting a close-knit team and helping ensure the office remains organized, welcoming, and running smoothly. The ideal candidate is polished, dependable, and naturally takes initiative.

This is a great opportunity for someone who enjoys being the go-to person in an office environment and is interested in either a long-term part-time position or the potential to grow with the organization. Key Responsibilities Serve as the first point of contact for guests, clients, vendors, and employees. Maintain a clean, organized, and welcoming office environment.

Manage office supplies, refreshments, and inventory, proactively replenishing items as needed. Coordinate with cleaning services and other office vendors. Assist with interview scheduling and other light administrative support.

Help coordinate team lunches, dinners, client meetings, and office events. Research and coordinate local restaurants, venues, and services as needed. Support printing, deliveries, vendor requests, and general office logistics.

Identify opportunities to improve day-to-day office operations and take ownership of projects as needs arise. Assist with occasional physical office tasks, including lifting and moving supplies up to approximately 25-30 lbs. Qualifications Previous office, administrative, hospitality, reception, or customer service experience preferred.

Professional, personable, and comfortable in a highly visible, front-facing role. Proactive and self-directed, with a willingness to take ownership rather than wait for direction. Highly reliable and punctual, with the ability to consistently be onsite by 8:30 AM.

Strong organizational and communication skills. Comfortable coordinating vendors and managing multiple day-to-day priorities. Proficiency with Outlook and Microsoft Teams and general comfort learning new technology.

Familiarity with the Flatiron/Manhattan area is helpful. Interest in committing to the role for at least 6-12 months preferred. Schedule & Compensation This position is onsite Monday through Thursday from 8:30 AM-5:00 PM, with a 30-minute lunch break and Fridays off.

The pay rate is $23-$25/hour. This is an ongoing temporary opportunity with potential for temp-to-perm conversion based on business needs and mutual fit.
