Job description

Executive Assistant - Global Go-to-Market
We are currently seeking an experienced Executive Assistant to provide quality team and administrative support to Go-to-Market sales leaders who lead global teams across the sales process. This role will interact regularly with senior leaders, team members, and administrative professionals to manage complex calendars, coordinate meetings and travel, support project execution, monitor team expenses, and ensure timely flow of information and materials. The Executive Assistant will manage multiple priorities with strong attention to detail, sound judgment, and the ability to proactively anticipate leader and team needs. Work may be highly sensitive in nature; therefore, strict confidentiality, discretion, and professionalism are required.
About the Role
In this opportunity as an Executive Assistant, you will:
  • Provide comprehensive administrative and operational support for 2-3 sales leaders, including calendar management, meeting coordination, agenda preparation, travel planning, expense processing, invoice support, presentation collation, and timely follow-up on information requests.
  • Use business and collaboration tools effectively to support leader and team productivity, including AI-enabled tools, Microsoft Office 365, Teams, OneNote, Workday, Travel & Expense systems, Salesforce, Gong, and approved sales-enabled tools.
  • Identify, research, and resolve complex administrative and operational issues, partnering with internal administrative networks and stakeholders to determine solutions quickly and accurately.
  • Interact with senior leaders and their teams, including administrative support staff on significant matters, anticipating needs, reprioritizing work as business demands change, and ensuring leaders are prepared for key meetings and commitments.
  • Draft, edit, proofread, and distribute reports, correspondence, agendas, meeting notes, and communications with strong attention to grammar, accuracy, tone, and audience.
  • Manage calendars by scheduling, vetting, prioritizing, and resolving conflicts across global time zones; handle routine informational inquiries and route requests to the appropriate team member for resolution.
  • Prepare domestic and international travel itineraries, including flights, lodging, ground transportation, meeting logistics, and related expense reconciliation.
  • Lead or coordinate assigned projects and team initiatives by tracking milestones, organizing materials, following up on actions, and keeping stakeholders informed of progress and risks.
  • Plan and support leadership meetings, team offsites, and standing management-led events, including agenda development, communications, logistics, materials preparation, and post-meeting follow-up.
  • Other projects and duties as assigned including ad-hoc requests.

About You
You're a fit for the role of Executive Assistant if you:
  • Have 5+ years of experience providing executive or senior leader administrative support, preferably in a global, matrixed sales or go-to-market environment.
  • Have advanced technology skills, including Microsoft Office 365, Word, PowerPoint, Excel, Teams, OneNote, and familiarity with sales tools such as Salesforce and Gong.
  • Have a college diploma, university degree, or equivalent practical experience.
  • Are proficient with, travel, expense management, and related approval systems.
  • Have experience working within fast-paced, complex, dynamic, and multicultural business environments.
  • Demonstrate excellent oral and written communication skills, including the ability to prepare clear agendas, meeting notes, and stakeholder communications.
  • Exercise exemplary judgment and discretion when handling sensitive and confidential information.
  • Have strong knowledge of general office practices, resourcefulness in gathering information, and confidence in determining practical solutions.
  • Are detail-oriented and able to work efficiently with complex information, competing priorities, and time-sensitive requests.
  • Are a proactive self-starter who can work with minimal supervision, anticipate leader needs, and manage workload effectively.
  • Have strong organizational skills, including the ability to shift focus quickly across responsibilities and maintain momentum on multiple workstreams.
  • Can manage and prioritize multiple tasks in a dynamic work environment, including meeting aggressive deadlines and adapting quickly to changing priorities.
  • Are motivated to learn new skills, improve processes, and support continuous improvement across the team.
