The Marketing Program Manager is responsible for developing and executing comprehensive marketing and communications strategies that elevate the organization’s brand across multiple platforms. This role also assists in planning, developing, and implementing continuing education and award programs. Working closely with various internal teams, external partners, and committee stakeholders, the Marketing Program Manager ensures seamless coordination of events, programs, and outreach efforts.
Key Responsibilities
Marketing & Communications
- Content Creation & Coordination
- Draft and edit copy for website, email blasts, press releases, and various publications.
- Oversee social media, website, and email marketing content to ensure alignment with brand guidelines.
- Create and manage timelines for web and social media postings in coordination with each department.
- Media Relations
- Develop press releases with the Executive Director and distribute to relevant media outlets.
- Monitor press coverage and update the Executive Director on media pick-up or coverage outcomes.
- Digital Media & Video Production
- Produce and edit video content for webinars and events.
- Regularly update and maintain website pages to reflect current programs, events, and initiatives.
Program Management
Program Management, Committee Collaboration, Continuing Education & Awards
- Plan, Develop, and Implement Programs: Organize monthly meetings, continuing education courses for assigned committees. Coordinate juries for awards programs.
- Registration and Credit Management: Manage registration platforms, document credits within the AIA CES system, and update all relevant program forms.
- Committee Coordination: Schedule and attend Knowledge Community (KC) committee meetings, develop agendas with co-chairs, and secure speakers/presentations.
- Event Logistics: Collaborate with the events staff for in-person events, research potential programs/tours, and manage related budgets.
- Platform and Technology Oversight: Utilize software (Zoom Meetings, Zoom Webinar, WordPress, JotForm, Doodle Poll) to host webinars, panel discussions, and manage overall programming.
- Website and Marketing Collaboration: Create and maintain registration/landing pages, speaker pages, and work with Marketing/Communications to promote programs via email, social media, and print.
- Sponsorship and Reporting: Secure sponsorships, maintain event/program documentation, and produce monthly committee reports for the Executive Director.
Financial & Budgetary Oversight
- Ensure all marketing and program-related expenditures remain within approved budget parameters.
- Track invoices, sponsorship revenue, and any other income or expenses related to promotions and events.
Additional Duties
- Perform other duties as assigned by the Executive Director.
- Uphold excellent customer service standards when interacting with members, sponsors, and the general public.
Qualifications & Skills
- Education: Bachelor’s degree in Marketing, Communications, or a related field.
- Technical Proficiency:
- Microsoft Office Suite (Word, Excel, Teams, PowerPoint).
- Adobe Creative Suite (InDesign, Photoshop).
- Basic graphic design tools (Canva, WordPress).
- Communication:
- Strong written and verbal skills, including proofreading and copy editing.
- Proven ability to create compelling marketing and promotional materials.
- Organization & Project Management:
- Capacity to manage multiple projects, tasks, and deadlines simultaneously.
- Strong organizational and administrative skills for both physical and digital records.
- Detail-Oriented:
- Excellent attention to detail, ensuring accuracy and quality in all deliverables.
- Interpersonal & Teamwork:
- Ability to collaborate with various stakeholders, from committee members to external vendors.
- Self-motivated individual who can work independently while maintaining a commitment to exemplary customer service.
Additional Requirements
- Reliable transportation, valid driver’s license, and insurance.
- Ability to work an occasional evening.
- Capable of lifting a minimum of 50 lbs. without assistance.
