Summary of the role:


We are looking for someone experienced with events management, from conception to completion, who is diligent, organized, and highly collaborative to join our team. In this role, you will lead, plan, and accomplish a diverse portfolio of events. This includes virtual webinars, online networking sessions, and both in-person and hybrid convenings. These events support our organizational mission and engage our global audience. You will also take on the role of principal steward of our comprehensive events calendar, ensuring that all programming is led, well-coordinated, timely, and aligned with organizational priorities. This role reports directly to the Publicist and Public Relations Manager and works in close coordination with the Communications Associate to ensure that all events are strategically amplified on GRID's social channels and aligned with GRID's broader visibility and thought leadership goals.


What you will be doing (essential responsibilities:


Event Planning & Execution


  • Lead the development of processes and procedures for event management and software platforms, and implement it across GRID with an organization-wide accessible calendar
  • Lead the planning, coordination, and execution of a range of events including webinars, virtual networking sessions, regional workshops, and annual convenings with input from key collaborators internally and externally
  • Develop standard operating procedures and lead logistical production of GRID's official webinar series in partnership with the Publicist, including registration management, technical production, speaker preparation, and post-event reporting
  • Lead the scaling of webinars into a recurring, branded platform that advances thought leadership and audience growth on GRID's website
  • Lead all logistical aspects of events, from beginning to end, including venue sourcing, vendor negotiations, catering, A/V, budgeting, marketing materials requirements and needs, and travel coordination for in-person events
  • Configure and handle virtual event platforms (e.g., Zoom, Google Meet, Eventbrite) for online programming, ensuring a seamless experience for global participants across time zones
  • Develop event runbooks, handle timelines, and briefing documents, and serve as the primary point of contact on the day of events


Calendar & Project Management

  • Develop standard operating procedures for handling the events calendar and its projects. Oversee GRID's full organizational events' calendar, including internal and public events. Make sure teams have visibility and avoid scheduling conflicts.
  • Establish and maintain standardized event intake and planning processes across departments
  • Track deadlines, deliverables, and dependencies across multiple simultaneous events using project management tools
  • Proactively surface event alignment opportunities across program, philanthropy, and communications teams
  • Maintain a forward-looking events' roadmap to support executive visibility strategy and fundraising priorities
  • Produce post-event reports summarizing attendance, engagement, and key takeaways to inform future programming


Event Visibility & Communications Integration

  • Collaborate alongside the Publicist and Public Relations Manager to identify events that warrant media outreach, executive positioning, or speaker elevation
  • Coordinate alongside the Communications Associate to guarantee timely promotion, live amplification, and post-event content repurposing
  • Develop event briefing templates and documents that include publicity angles, messaging priorities, and executive talking points
  • Ensure webinars and major events are recorded, archived, and transitioned into evergreen content for YouTube and digital platforms
  • Create post-event impact summaries to be used for development, partner reporting, and media follow-up


Stakeholder & Speaker Coordination

  • Project manage and liaise with internal teams, external partners, sponsors, and speakers to confirm logistics and ensure alignment on event goals
  • Handle speaker outreach, green room logistics, prep calls, and materials collection
  • Lead the event communications in coordination with the marketing and communications team, including invitations, promotional copy, marketing materials, garments and event merchandise, and post-event follow-ups
  • Lead post-event debriefs


Budget & Administration

  • Develop and handle event budgets, track expenditures, and reconcile invoices in a timely manner
  • Source and handle vendor relationships, negotiating contracts aimed at improving value for the organization
  • Ensure compliance with organizational policies and, where relevant, local regulations for events held in different countries
  • Track event return on investment in partnership with the Publicist, including attendance growth, collaborator engagement, and digital reach


Requirements

Your areas of knowledge and expertise...

  • 5 years of experience in event coordination or event management, ideally within a non-profit, association, or international organization
  • Demonstrated experience planning and producing webinars and virtual events for large or global audiences
  • Strong organizational skills and the ability to handle multiple projects simultaneously under deadline pressure
  • Proficiency with digital event platforms, webinar tools, and video conferencing software
  • Familiarity with project management tools such as Asana, Monday.com, or Notion
  • Excellent written and verbal communication skills, with sensitivity to cross-cultural communication
  • Experience working across multiple time zones and with internationally dispersed teams
  • Ability to work independently, take initiative, and problem-solve in real time

  • Experience with CRM or event registration platforms such as Salesforce, Eventbrite, or Cvent

Compensation:


The compensation range for this fulltime position is $60,000-$75,000. The base pay that will actually be offered will vary depending on job-related knowledge, skills, location, experience and take into account internal equity.

Where you will sit & the places you may go...


The ideal candidate will sit in xxxxx. This position may require up to 25% out-of-town travel to regional offices and special projects such as org-wide celebrations, team building exercises, etc. Availability to work nights and weekends may very rarely be required. GRID Alternatives may provide vehicles for work travel and/or travel reimbursement for personal vehicle use. In this instance, applicants must hold a valid driver's license and have a good driving record.
