                            St. Jude's Episcopal Church, Parish Administrator  

 

 

 

Job Description: The Parish Administrator supports the mission and ministries of St. Jude’s Episcopal Church by overseeing the parish’s administrative operations. Working closely with and under the supervision of the Rector, the Parish Administrator helps ensure that the church office functions efficiently, professionally, hospitably, and in a manner consistent with the Christian faith and the values and practices of the Episcopal Church.

Position Expectations: The Parish Administrator must be organized, dependable, hospitable, and able to manage confidential information with discretion. The Administrator works with parishioners, staff, volunteers, vendors, and visitors and must be able to manage competing priorities while maintaining a welcoming and professional church office.

Christian Faith and Church Participation: The Parish Administrator should demonstrate an active Christian faith and regularly participate in the worship and life of a Christian congregation. Membership at St. Jude’s Episcopal Church is neither required nor expected. The successful candidate must support the mission, worship, and ministries of St. Jude’s and work respectfully within the traditions and practices of the Episcopal Church.

Job Duties and Responsibilities

Office and Parish Administration

  • Reception and hospitality
  • Maintain parish calendars and records
  • Order office supplies, maintain files, correspondence, and approved contracts
  • Maintain current written office procedures, and ensure authorized parish access to accounts, passwords, vendor information, and other records necessary for the orderly continuation of parish operations.
  • Support for occasional weddings, funerals, and parish events
  • Other duties as assigned by the Rector

Communications and Publications

  • Weekly bulletins
  • Monthly newsletter
  • Parish-wide emails and announcements
  • Annual meeting materials

Financial and Personnel Administration

  • Coordinate volunteer counters; make deposits, follow established parish financial controls
  • Bills and reimbursements
  • Payroll documentation and time sheets
  • Contribution records
  • Maintain required tax, payroll, and employment records
  • Support for the Treasurer, bookkeeper, auditor, and stewardship ministry

Facilities Coordination

  • Coordinate use-of-facility requests
  • Coordinate with vendors and maintain contracts within established parish approval and spending policies
  • Coordinate maintenance needs with the Junior Warden

 

Required Job Qualifications

Terms of Employment

·       Appropriate business casual attire

·       Undergo and successfully complete a background check

·       90-day introductory period with performance review; annually thereafter

·       Coordinate any time off with the rector who is the direct supervisor

·       This is a salaried position of 28 hours a week, 9:00 – 5:00, with a 1-hour meal break, Monday –

Thursday

·       Vacation & Holidays: Two weeks paid vacation annually and paid holidays observed by the parish

office

·       The annual salary range is $32,000-$35,000, depending on experience and qualifications
