Job description

Position Title: Member Events Coordinator

Reports to: Director of Member Events & Member Events Manager

Position Summary: To provide administrative support to the Member Events Department.

Essential Functions:
  • Record reservations for events received via the phone and email. Confirm reservations with members in a timely manner
  • Record special requests received from members (i.e. dietary restrictions, seating requests, etc.)
  • Process billing for Member Events for the Accounting Department approximately 65 events per month
  • Assist with the execution of Club events planned by the Member Events Department
  • Work with the Member Activity Group chairpersons to coordinate their AV needs for events
  • Contact the Member Activity Group chairpersons with regards to deadlines for Club publications
  • Prepare and update all Member Activity Group and Member Events BEOs as needed
  • Assist with floor plans for events as needed
  • Attend daily BEO meetings
  • Review 10 Day Catering Report to keep track of the status of Member Events Department BEOs
  • Register for events planned by the Member Events Department
  • Keep track of special meal requests for events and email this information to the Catering Department and Chef at least one business day prior to event
  • Provide event counts to the Catering Department two business days prior to an event. Provide updated counts as necessary.
  • Send out broadcast emails to the membership alerting them to events. Process reservations received from the emails and confirm reservations via email with the members
  • Allocate tickets and record ticket assignments for off premise Club events
  • Coordinate the pick up of tickets for off premise Club events by members. Follow up with a reminder phone call to members who have not picked up tickets at least two business days prior to an event
  • Book meeting space for events as necessary
  • Input event information on the Club website as necessary
  • Contact the members of the Member Events Committee with regards to upcoming committee meetings and track attendance for meetings
  • Prepare materials for the monthly Member Events Committee meeting
  • Take minutes for the monthly Member Events Committee meeting. Prepare minutes in written form for approval by the chair of the Member Events Committee
  • Interact with the Club membership on the phone as well as in person

  • Answer the Member Events Department phone
  • Maintain Departmental Files
  • Prepare nametags for Club events planned by the Member Events Department
  • Prepare table cards for events planned by the Member Events Department
  • Prepare and distribute the weekly Event Digest
  • Any other duties that may be requested
  • Education: Any combination of education and experience that provides the required knowledge skills and abilities.

    Experience: Prior customer service or administrative experience is preferred. Prior event planning, catering or sales experience is a plus.

    Skills: Proficient typing skills, excellent verbal and communication skills, proficient use of Microsoft Word and Excel, detail oriented and creative.
