Description

Under the general direction of the Event Logistics Manager, the Event Lead plays a key role in bringing events to life through hands-on coordination, exceptional customer service, and seamless day-of execution across the Garden. 


Key Responsibilities

  • Review and understand all event paperwork prior to shift to ensure seamless execution
  • Oversee vendor load-in and load out, including set-up; break down and cleanup of the event
  • Effectively interact with clients (internal & external), caterers, wedding planners, etc. ensuring excellent customer service and a top-quality experience with the Garden
  • Communicate efficiently and effectively across various Garden departments
  • Responsible for the completion of event paperwork, incident reports, and the handling of any other issues pertaining to vendors, the event, safety of individuals attending and the maintenance of the Garden facility from damage
  • Monitor event activities to ensure the client and event attendees are satisfied
  • Monitor guest behavior and communicate with appropriate departments as needed
  • Assist with managing on-site production and clean up for events as necessary
  • Assist with office tasks as deemed necessary
  • Oversee vendor load-in at various Garden entrances
  • Act as go-to shift leader
  • Assist with check-in shifts
  • Assist with maintaining organization in Event Lead Room and all other Special Events storage areas
  • Train new members of the team
  • Provide excellent customer service in meeting the needs and requests of clients
  • Work and interact professionally with all levels of management and staff of the Garden
  • Work in a team environment to execute both private and public events at the Garden

Requirements

  • 1-2 years ' experience with event coordination/execution
  • Must be able to work independently as well as on a team environment
  • Must have availability to work both daytime and weekend shifts as well as early morning and late-night shifts
  • Demonstrate excellent leadership, organizational and time management skills
  • Ability to respond quickly and effectively to change
  • Creative problem solving and excellent customer service skills
  • Ability to communicate clearly, confidently and professionally with vendors and clients
  • Be able to understand diagrams and all event paperwork
  • Personable with a positive attitude
  • Must have access to reliable transportation and be able to report to work on a changing schedule, including weekends, evenings and holidays

Physical Requirements

  • Requires standing and walking for extended periods throughout the shift
  • Position routinely requires the ability to lift up to 40 pounds
  • Must be able to work outside in the elements, including all seasons
