Job Summary

The Facility and Events Planner is responsible for the coordination, scheduling, and supervision of activities and events at public recreation facilities and venues. This position ensures that venues are properly maintained, prepared, and staffed for both internal and external events. The coordinator serves as the primary liaison between the Parks and Recreation Department and community members, organizations, and vendors utilizing the facilities.

Coordinate the scheduling and use of Parks and Recreation facilities for public and private events, including weddings, meetings, tournaments, classes, and community events.

Manage facility rental process including applications, contracts, deposits, and compliance Serve as onยญsite contact for events, ensuring facilities are opened, closed, and properly maintained before, during, and after events.

Collaborate with maintenance staff to ensure facility cleanliness, safety, and readiness.

Promote venues and events through community outreach, marketing materials, and online calendars.

Assist in planning and executing department-sponsored events such as festivals, seasonal celebrations, or recreational programming.

Respond to inquiries, resolve issues, and provide excellent customer service to facility users and event participants.

Maintain accurate records of bookings, payments, attendance, and evaluations.

Monitor inventory of equipment and supplies needed for events and facility operations.

Ensure compliance with safety regulations, city ordinances, and department policies.

Support the development of operational procedures, event guidelines, and rental policies.

Additional Duties: Employees in this classification may be expected to perform any related duties as required by proper authority.

Working Conditions

Work is performed in both office and facility environments; may require working outdoors during events. Frequent interaction with the public, vendors, staff, and volunteers. May require evening, weekend, and holiday hours depending on event schedule.

Minimum Qualifications

1. Bachelor's degree in Event Management, Parks and Recreation Administration, Public Administration, Project Management, or a related Field.

2. Minimum of three (3) years of progressively responsible experience in special event planning, preferably in a government or community-based setting.

3. OR a combination of education and experience equivalent to numbers #i and #2 above.

4. Demonstrated experience in budget management, vendor negotiation, team supervision, and high-profile event execution.

5. Valid State of Georgia Driver's License
