We are looking for an organized, proactive, and detail-oriented Event Manager to join our team and assist with the planning and execution of high-profile events.

The Role
The Event Manager will assist with the planning, coordination, and execution of events from initial concept through event completion. This person will work closely with Raul Avila, clients, vendors, staff, venues, and internal teams to ensure event details are organized and executed smoothly.

This is a fast-paced role for someone who enjoys working in a dynamic environment, can manage multiple priorities, and is comfortable working on-site and solving problems in real time.

Responsibilities
  • Assist with planning and coordinating events from initial concept through event day and post-event follow-up.
  • Serve as a point of contact for clients, vendors, venues, event staff, and internal teams.
  • Build and maintain production schedules, staffing plans, timelines, floor plans, and other event documents.
  • Coordinate with vendors, rental companies, caterers, entertainment, décor teams, and other event partners.
  • Assist with event budgets, purchase orders, invoices, calendars, travel arrangements, and other administrative tasks.
  • Participate in site visits and support venue planning, event layouts, setup, and breakdown.
  • Coordinate event staff, including schedules, responsibilities, expectations, and day-of assignments.
  • Track deadlines and follow up with clients, vendors, and internal teams to keep projects on schedule.
  • Troubleshoot issues quickly and professionally during event setup and live event execution.
  • Manage multiple events and projects simultaneously while maintaining organized files, strong attention to detail, and supporting the broader event production team as needed.


Qualifications
  • 2+ years of experience in event planning, event production, entertainment, or a related field.
  • Strong organizational and project management skills, with the ability to manage multiple projects, deadlines, and priorities simultaneously.
  • Excellent written and verbal communication skills, with the ability to work effectively with clients, vendors, staff, and internal teams.
  • Strong attention to detail, follow-through, and problem-solving skills, with the ability to remain calm and solution-oriented when plans change.
  • Proficiency in Microsoft Office and experience creating schedules, timelines, spreadsheets, and other event-related documents; familiarity with NYC event vendors and suppliers is a plus.
  • Ability to work independently and collaboratively in fast-paced, high-pressure environments, including evenings, weekends, and nontraditional hours based on event schedules.
