The Program Coordinator - Events, is a member of the Experience & Engagement program and reports to the Executive Director, Events. The Experience & Engagement program is responsible for broad-based fundraising; peer-to-peer programming; donor communications; donor marketing; and a robust pipeline of events.

The Program Coordinator, Events, manages the essential day-to-day administrative responsibilities of the team as well as special projects related to the maintenance and growth of Philanthropyโ€™s infrastructure and operational goals. The Program Coordinator, Events, supports the planning and production of a variety of large and/or complex cultivation, stewardship, and fundraising events throughout the year. The Program Coordinator, Events, may also collaborate on the coordination of smaller events.

Some travel and weekend and evening work may be required.

This position is a hybrid role with a minimum two days per week at our South Lake Union campus.

  • Support event production tasks including guest registration, tracking sponsorship revenue and benefits, procurement and auction fulfillment, gift processing, and event logistic support.
  • Support auction item management, including procurement administration and fulfillment.
  • Coordinate day-of event logistics including set up, registration, troubleshooting, and clean up.
  • Assist with the recruitment and training of event volunteers including responding to inquiries and providing day-of event support.
  • Provide general administrative support for the team which may include answering emails and phones; providing meeting support including scheduling, drafting agendas, and taking minutes; managing ProCard and budget
  • reconciliation; implementing electronic filing; and making conference room reservations.
  • Coordinate across teams to support program activities.
  • Respond to donor and/or internal inquiries while providing excellent customer service.
  • Responsible for complex data entry and data hygiene functions.
  • Carry out a portfolio of recurring assignments.
  • Follow established gift processing and gift handling procedures and documentation.
  • Collaborate to refine, improve, and document processes and process improvements.
  • Serve as an individual contributor; this role does not have people, program, or fundraising responsibility.
  • Other duties as assigned.

MINIMUM QUALIFICATIONS:

  • Bachelorโ€™s degree or equivalent experience.
  • One year work experience.

PREFERRED QUALIFICATIONS:

  • Ability to set priorities, meet deadlines, and manage multiple projects in a fast-paced, changing environment.
  • Event planning experience, preferably in a nonprofit or similar setting.
  • Ability to periodically perform light lifting, carrying, pushing, or pulling of event materials weighing approximately 20 pounds.
  • Excellent written, verbal, and interpersonal communication skills.
  • Highly developed organizational and information management skills.
  • Strong attention to a high level of detail and quality of work.
  • Ability to build relationships and work collaboratively within a complex organization.
  • Proficiency with Microsoft Office Suite and experience with a CRM, Raiserโ€™s Edge/RENXT, or related fundraising software.
  • Ability to handle and respect confidential and sensitive information.

The hourly pay range for this position is from $31.26 to $44.51 and pay offered will be based on experience and qualifications.

Some travel and weekend and evening work may be required.
