Hurlburt Company is a locally owned property management organization operating a portfolio of commercial properties across the Bozeman area, including office suites, commercial investment properties, and mixed-use spaces. Our operations team works in close partnership with Bozeman Real Estate Group, one of the area's most recognized residential and commercial brokerages, giving our team a connected, full-service presence in the local market. We're a tight-knit group that takes operations seriously, and we're growing.

The Role

We're looking for a sharp, organized Property Operations Coordinator to own our commercial portfolio end-to-end. This is a hands-on role with real accountability. You won't be shadowing someone or waiting for direction. You'll manage leasing, tenant relationships, maintenance coordination, building operations, and the financial tracking that keeps our portfolio running clean. What You'll Own

Leasing

  • Advertise and show available commercial suites and spaces
  • Screen applicants, prepare lease agreements, and manage deposits and move-in packets
  • Manage lease renewals and coordinate annual rent increases
  • Conduct lease terminations: walkthroughs, deposit returns, and unit turnover

Tenant Management

  • Serve as the primary day-to-day contact for all commercial tenants
  • Onboard new tenants: access, keys, printer setup, and welcome communication
  • Maintain organized, audit-ready tenant files
  • Oversee rent collection and follow up on delinquencies per property policy

Building & Maintenance

  • Act as the primary building manager for commercial properties
  • Receive, assign, and track all maintenance requests through to resolution
  • Manage vendor relationships: HVAC, plumbing, electrical, cleaning, and landscaping
  • Schedule seasonal work (sprinklers, windows, snow removal) and conduct regular building walkthroughs
  • Escalate capital repair needs to leadership

Financial Tracking & Bookkeeping

  • Accurately enter rent receipts, deposits, and tenant charges into bookkeeping software
  • Track monthly utility billing for commercial tenants and coordinate with the accounting team
  • Support annual NNN reconciliation calculations for applicable properties
  • Maintain accurate records and flag discrepancies promptly

Reporting & Admin

  • Track and report portfolio occupancy, vacancy, and delinquency weekly
  • Maintain shared documentation and standardized folder structures per property

What We're Looking For

  • 2+ years of property management or commercial leasing experience
  • Familiarity with Montana landlord-tenant law and commercial lease structures
  • Strong organizational skills — you're managing multiple properties simultaneously and nothing falls through the cracks
  • Comfortable with Google Workspace (Drive, Docs, Sheets, Gmail)
  • Experience with property management software (Buildium, AppFolio, or similar) is a strong plus
  • Self-directed and dependable — this role operates with real autonomy
  • Customer-service mindset — tenant relationships are long-term and matter
