A Day in the Life of an Event Coordinator Manager:
As a Liberty Military Housing Event Coordinator Manager, you will be responsible for managing Event Coordinators within the Community Services Department. Through coaching and mentoring, as the Manager your role will be responsible for ensuring the Event Coordinators are effectively producing high quality, well planned events, managing all aspects of the event planning process and ensuring fiscal and risk responsibility and delivery of Liberty's mission of providing exemplary service in accordance with Liberty Military Housing quality customer satisfaction standards.
Your Responsibilities include, but not limited to:
  • Ensure that the Event Coordinators are developing and coordinating all aspects of the event planning process (research, design, planning, coordination, evaluation) and are executed with quality and detail and produced based on department expectations. Support the Event Coordinators to ensure they are on target and prepared for meetings with the Community Services Director.
  • Develop timelines, production schedules, and time blocking processes that are effective to meet expectations, deadlines, and support good communication and flow of the event and planning process.
  • Demonstrate a high level of understanding to coach and train on the event experience for the event attendees that is based on a comprehensive review of the event attendee demographic, needs assessment, and trends associated with the military, local community, and relevant social groups.
  • Assist the Coordinators by ensuring agendas and minutes are being completed, tasks are being assigned and followed through on, and planning is on target per department expectations.
  • Support the Community Services Director in coaching and mentoring the Event Coordinators so goals are being focused on monthly. Assist with coaching performance and the annual review process.
  • Support in the recruiting effort by reviewing resumes, conducting phone interviews, and setting up future interviews. Support with onboarding of new team members to ensure training is on target for the first 3 months and then 6 months. Attend events with new Event Coordinators to support and train onsite. While there is a gap in a position, oversee the events to keep them on target.
  • Oversee the Event Coordinators' monthly schedules and Day of Coordinator Schedules are being filled out correctly.
  • Perform various Administrative and computer tasks, email communications, input of information/data into various software and information systems. (i.e. Payscan, Yardi, Word, Excel, Publisher, Indesign, Streampoint Registration Website, Social Media Sites)

Qualifications
What You Need for Success:
  • Position requires a minimum of 5 years or more experience in the event industry specifically with planning and coordinating events.
  • Position requires a degree in event planning, recreation, hospitality, marketing, communication, or related field.
  • A certificate in event planning is preferred (currently working on or complete).
  • Position requires experience with managing team members/direct reports.
  • Working knowledge or experience with the military community is preferred.
  • Working knowledge or experience with children and children programs is a must.
  • Ability to demonstrate leadership skills and good professional judgement when dealing with difficult situations. Be able to demonstrate leading by example and role modeling good professional behavior.
  • Experience with and understanding of budgets, proposals, contracts, and negotiation skills.
  • Effective communication and interaction with military partners, vendors, residents/event attendees, and management. Ability to exchange or convey information to receive work direction.
  • Proficiency and working knowledge of personal computers: keyboard, internet search, email correspondence, math, Microsoft Office (Word and Excel), Publisher, InDesign, Photoshop, social media sites, and other software applications preferred (i.e. Yardi, Payscan, Streampoint). Technology savvy and a quick learner is a plus. Familiarity with use of a digital camera is preferred.
  • Ability to operate a motor vehicle (valid license and insurance required). Position requires use of personal and company vehicles.
  • Must be able to demonstrate quality writing and good public speaking.
  • Must have effective time and task management skills.
  • Must be able to work a flexible schedule including nights, weekends, and some holidays, able to balance personal and professional hours and expectations and manage time within a workday.
  • Ability to travel to other regional locations for work, training, meetings, and other work-related activities.
  • Ability to travel overnight for events or training and manage time effectively with the added responsibilities of the position.
  • Position requires heavy lifting up to 50 lbs., utilizing step stools to access event items, moving of boxes and event materials, and loading/unloading of vehicles for events.
  • Position requires ability for walking and standing for long period of times when on location for an event.

Pay Range: $70,304 - $73,000 (annual)
* Medical/Dental/Vision insurance eligible after 30 days of full-time employment.
**Vacation and sick time are based on the employee's hire date.
