Job Description: Admitting Representative (Onsite)

Admitting Representative Job Summary: The Admitting Representative assists patients in accessing healthcare services through pre-registration, registration, and check-in. The representative is responsible for capturing accurate demographic and financial information through in person, electronic or telephone contact. The Admitting Representative courteously greets callers, determines the reason for their call, and answers questions or directs their requests to different departments as necessary.

  • Weekend and Holiday availability required. Shift differential may apply.

Admitting Representative Essential Accountabilities:

  • Registration and admission process activities

    • Provide outstanding customer service and communication to patients, visitors, and coworkers as demonstrated through physical review, comments, and peer interactions.

      • Identify patients presenting for services through review of identification, ensuring patient’s identity 100% of the time and if applicable, generates patient wristbands, securing the band on the patient's wrist.

      • Explain and obtain signature for general consent, HIPAA Notice of Privacy Protection, and other consent forms 100% of the time.

      • Must have an applicable working knowledge of Medicare/Medicaid and third-party insurance needed to complete this position and/or have the ability to obtain within first 90 days.

      • Enter and verify accurate insurance information if available. Notate patient account regarding insurance status when applicable.

      • Scan patient information and signed consent forms into the electronic medical record 100% of the time.

      • Orient and educate admitted patients about their rights as inpatients. Provide patients with a complete admission packet 100% of the time.

      • May provide clerical and PBX support to the medical providers and outpatient service departments on the McPherson Center for Health campus. This includes answering phones, placing and connecting pages, taking messages, scanning documents, and performing other clerical tasks as assigned.

      • May assist Emergency Room providers in arranging transportation for discharged patients.

      • May compile midday and midnight Pre-Census Report.

      • May be required in some departments to assemble patient visit paperwork including but not limited to provider orders, insurance authorizations, lab results and other required documentation.

      • Capability to provide supporting coverage in all areas of registration (ER Admissions, Information Desk, Main Admissions, Wound Care Clinic, etc.

      • Other clerical duties as assigned.

Admitting Representative Department Specific Accountabilities:

  • Complete department daily checklist including but not limited to pre-registrations, registration file maintenance and others as needed.

  • Scan all required documents into patient’s electronic medical record (includes consent forms, IDs, insurance cards, etc.)

  • Daily petty cash reconciliation

Admitting Representative Organization Accountabilities:

  • Completion of HealthStream’s education by designated due date.

  • Model positive and professional interactions between staff, leadership, providers, patients, and visitors.

  • Read and respond to departmental emails and interdepartmental communications in a timely manner.

  • Follow all hospital and departmental policies and procedures, including donning and doffing of appropriate PPE in your workspace.

  • Understand and strictly adhere to HIPAA. Promote a HIPAA compliant campus.

  • Must maintain a personal presence that is characterized by a sense of honesty, integrity and caring with the ability to inspire and motivate others to promote the mission, vision, goals, and values of McPherson Center for Health.

  • Foster collaborative relationships with peers in the department as well as other staff at McPherson Center for Health, with a particular focus on teamwork.

  • Participate in professional development and educational activities. Attend and actively participate in all assigned meetings and in-services.

  • Must communicate time off requests by deadlines outlined by your supervisor.

  • Perform other related duties.

Admitting Representative Minimum Qualifications:

  • A High School Diploma or its educational equivalent and one year of satisfactory clerical experience.

  • Ability to commute/relocate if needed. In person positions only available for Admissions.

  • Capability to sit and work with a computer for extended periods.

  • Customer service driven ability to answer a multi-line phone system and transfer if needed.

  • Successful applicants will be self-motivated and able to work well both unsupervised and part of a team.

Admitting Representative Skills Requirement:

  • Keyboard familiarity with the ability to type at a minimum of 100 keystrokes (20 words) per minute.

  • Microsoft Office tools (Word, Excel, Teams, etc.)
