About the Role:

This entry-level Project Coordinator role is primarily responsible for completing the day-to-day project management support tasks that are essential for the smooth operation of Yahara Software development efforts. This role works directly with the Project Managers andRequirements Engineerson the projects to which they are assigned and provides them, and the software development teams, with critical organizational, information gathering, and procedural support. The Project Coordinator will interact with the Yahara Software Project Sponsors and technical teams including the Technical Leads, Developers and Release Teams. At times, the Project Coordinator will interact with theclientProject Sponsors as well. The Project Coordinator reports directly to the Project Manager (PM).

What You'll Do:

  • Maintains the project(s) schedule(s) and provides detailed variance reports to the PM and sponsor as requested.
  • Maintains project accounting reports and prepares summaries of key information for PM and sponsors as needed.
  • Responsible forthe capture ofconcise andaccuratemeeting notes during all client meetings andprovidingcurated notes to participants promptly after the meeting concludes.
  • Maintains project documentation and organization within the knowledge management structures.
  • Creates and edit drafts ofwork orders, change requests, and other project agreements.
  • Assists the PM in ensuring that all follow up actions assigned to Yahara stakeholders are tracked and completed.
  • Coordinates software testing activities.
  • Assists the PM andRequirements Engineerin preparing necessary presentation materials and documentation for project meetings and activities.
  • Manages the scheduling and preparation for both client and internal meetings.
  • Assists theRequirementsEngineersinorganizing and collecting business requirements,writing, or editing stories as needed.
  • Maintains the Jira board for projects under the direction of the BA and PM.
  • Maintains and monitors project plans and schedules, work hours,budgets, and expenses.
  • Assists the PM in documenting project risks and mitigation strategies.
  • Facilitatesclient andinternal teammeetingsas needed.
  • Reviews project team time entries for accuracy, professionalism, andappropriate allocation to tasks.


What You'll Bring:

  • Bachelors degree in a relevantfield;may be substituted withanassociatedegreecoupledwithadditionalexperience.
  • 1 - 3 years' experiencecoordinating project activities in a corporate setting.
  • Demonstrated ability to communicate effectively verbally, as well as through written word and formal presentations.
  • Demonstrated ability tocapture accurateand meaningful notes and distribute to relevant partiesin a timely manner.
  • Proven analytical and organizational skills, attention to detail, and experience working in a collaborative environment.
  • Understanding ofknowledge management activities.
  • Ability to manage and complete responsibilities across multiple projects and escalate tasks when competing priorities interfere with delivery.
  • Demonstrated ability to exercise good judgement in prioritization and communication with minimal direct guidance.
  • Ability to quickly learn, follow, and support existing processes and able to recommend improvements if process gaps exist.
  • Ability to consistently produce formal project related reports/documentation accurately andon time.
