Position Overview

The Operations Associate, Back-Office, plays a critical role in supporting the daily operations of our wealth management firm. This entry-level position is ideal for a highly organized and motivated individual interested in building a career in financial services. Youโ€™ll be responsible for supporting core operational functions, maintaining accurate firm and account records, coordinating with custodians, and assisting with internal process execution to ensure smooth day-to-day operations.

Requirements:

Key Responsibilities

1. Operations Support, Custodian Liaison & Access Management

ยท Support Operations Department by handling daily operational tasks to ensure smooth business activities.

ยท Act as a point of contact between the firm and its custodians (e.g., Schwab, Pershing, Fidelity & Goldman Sachs). Manage escalations related to account issues, paperwork, platform access, and transaction processing.

ยท Collaborate with advisors and other team members to ensure custodian-related workflows are executed accurately and in compliance with firm and regulatory standards.

ยท Manage user access and permissions across custodial platforms including onboarding new users, modifying roles, and maintaining up-to-date access controls in alignment with firm policies and compliance requirements.

ยท Participate in ad-hoc projects to support and drive firm initiatives.

2. Check Deposits & Documentation

ยท Deposit all checks received for contribution into client investment accounts in a timely and accurate manner.

ยท Log each check in internal tracking systems, ensuring alignment with the appropriate client account and custodian.

ยท Verify and collect rollover rationale forms for all rollover contributions, maintaining proper documentation for compliance.

3. Investment Advisory Agreement Quality-Check

ยท Verify client information to ensure accuracy of identity, account registration, and client address.

ยท Validate fee and billing terms including advisory fees, billing method, and any exceptions

ยท Ensure the correct set of agreements is included based on the specific account type being opened


Skills & Qualifications

  • Education:
    • Bachelorโ€™s degree in finance, Business, or related field, or equivalent experience in the financial services industry.
  • Experience:
    • 1-2 years of experience in a client service or operations role within a financial services environment, preferably in an RIA, wealth management or brokerage firm.
    • Knowledge of financial products, account types, and investment industry terminology.
  • Technical Skills:
    • Proficient in Microsoft Office Suite (Excel, Word, Outlook).
    • Experience with CRM (Salesforce), custodial platforms (e.g., Schwab, Fidelity, Pershing, Goldman Sachs), and financial account management systems is a plus.
    • Strong understanding of financial industry; primarily RIAs.
  • Soft Skills:
    • Strong attention to detail and ability to handle sensitive client information with discretion.
    • Excellent communication skills, both verbal and written.
    • Strong problem-solving skills and the ability to troubleshoot issues independently.
    • Client-focused with a high level of professionalism and service orientation.
    • Ability to prioritize and manage multiple tasks in a fast-paced environment.

Certifications (Preferred, but not required):

  • Series 65, or other relevant financial industry certifications, are a plus but not required.
