Medical Billing Specialist I

Kitsap Mental Health Services (KMHS) is seeking a Medical Billing Specialist to support the financial operations behind our behavioral health services. This role helps ensure claims are submitted accurately, payments are received promptly, and billing issues are resolved efficiently. The work is detail-oriented and plays an important part in supporting access to care across the agency. If you enjoy solving problems and helping processes run smoothly, we welcome your application.

Primary Responsibilities:

Process and review insurance claims, explanations of benefits (EOBs), vouchers, denials, payments, collections, and refunds.
Review denied or partially paid claims, investigate discrepancies, and work with involved parties to resolve billing issues.
Gather supporting documentation from medical records, notes, invoices, and other sources to prepare claim appeals.
Monitor electronic claims, resolve claim errors, submit requested information, and follow up to ensure timely reimbursement.
Process charges using appropriate CPT and diagnosis codes and maintain knowledge of current coding requirements.
Provide support and guidance related to coding and billing compliance.
Communicate with providers, clients, insurance companies, and other stakeholders regarding claim status and billing questions.
Work with supervisors, teammates, and available resources to resolve billing and collection concerns.
Maintain billing quality standards by following established policies, procedures, and regulatory requirements.
Complete administrative tasks including answering phones, filing, faxing, email correspondence, and documentation management.
Maintain accurate account activity records and billing system documentation.
Review and process correspondence received from third-party payers.
Prepare billing, collections, and accounts receivable reports as requested.
Maintain compliance with all applicable federal, state, and payer requirements.
Utilize billing systems, Medicare and Medicaid platforms, and payer websites to submit and manage claims.
Monitor accounts receivable aging reports and take action to support timely reimbursement.
Participate in trainings, meetings, and professional development activities.

Minimum Qualifications:

EDUCATION: High School Diploma or GED

EXPERIENCE: Entry Level (no experience required)

Preferred Qualifications:

EDUCATION: Bachelor's Degree in Accounting, Business or a related field.

EXPERIENCE: Experienced (minimum 2 years of job-related experience)

Course work in medical/psychiatric terminology. Two or more years of working in the Billing, Front Desk or Patient Services fields

Experience using an Electronic Health Record (EHR).

Performance Requirements:

KNOWLEDGE:

  1. Must have a good working knowledge of claim submissions (UB04/HCFA 1500) and third party payers.
  2. Knowledge of insurance billing and collection principles, problem solving abilities, customer service orientation and ability to communicate effectively.
  3. Experience with auditing processes.
  4. Experience in reading/understanding of remittance advices, Explanation of Benefits, denial letters,
  5. Must have knowledge on Credentialing Data bases (NPBD; CAQH; ProviderOne, etc.)

SKILLS:

  1. Skill in establishing and maintaining effective working relationships with other employees, clients, organizations, and the public.
  2. Interpersonal Skills: Courtesy, tact, and diplomacy are essential elements of the job. Work involves personal contact with others inside and/outside the organization, generally regarding routine matters for purposes of giving or obtaining information, which may require some discussion.
  3. Strong written and verbal communication skills
  4. Must be proficient in Microsoft Office. Experience with computerized accounting systems and proficiency with PC's and associated software applications. Ability to operate all computer and basic office equipment.

ABILITIES:

  1. Must be detail-oriented and organized with good analytical and problem solving ability.
  2. Demonstrated ability to work independently and as a team member in fast-paced environment.
  3. Adaptability - able to adjust approach to meet changing demands and situations including dealing with diverse people.
  4. The ability to operate a personal computer, fax machine, printer, and copier proficiently.
